Job description
Executive, Marketing Admin & A&P Support

Perform routine administrative tasks including correspondence, filing, scheduling, and documentation.

Manage marketing-related licenses, trademarks, and duty stamp applications in coordination with regulatory or legal departments.

Coordinate and track all media bookings, campaign materials, and in-store POSM allocation and delivery.

Handle premium item stock management, including requests, inventory tracking, and distribution.

Coordinate stationery, marketing tools, and resource requests for the team.

Maintain department records, trackers, and shared databases for easy access and reference.

Manage all SAP-related processes including Purchase Requisition (PR), Purchase Order (PO) creation, Goods Receipt (GR), and vendor invoice follow-up.

Prepare and track A&P (Advertising & Promotion) budget updates and expenditure reports.

Liaise with the Finance Department on cost center allocation, payment status, and monthly closing.

Ensure timely and accurate submission of supporting documents for financial reporting.

Support vendor onboarding and maintain updated supplier records.

Campaign & Project Support

Assist in coordination of campaign materials, premium logistics, and store-level rollouts.

Support new store opening activities — including preparation of marketing collaterals, premium packs, and cost allocation reporting.

Coordinate with internal stakeholders (Operations, Merchandising, Corporate Comms) and external vendors to ensure smooth execution.

Support internal communications (emailers, staff memos, briefing decks) as required.

Tracking, Reporting & Compliance

Maintain up-to-date trackers for campaign materials, approvals, delivery schedules, and budget spend.

Ensure documentation compliance for trademark, licensing, and vendor contracts.

Assist in preparing departmental reports and presentations for management review.

Support internal audits and ensure compliance with company processes and policies.

Ad-hoc Support

Perform any other administrative or coordination tasks as assigned by the Marketing team or management.

Provide back-up support to other marketing functions as needed.

Job Requirements

Diploma or Degree in Business Administration, Marketing, or any related field.

Minimum 2 years’ experience in an administrative, marketing coordination, or operations support role.

Fresh graduates are encouraged to apply; prior internship or admin experience will be an advantage.

Proficient in Microsoft Office (Excel, PowerPoint, Word); knowledge of SAP or similar systems is an added advantage.

Strong organizational and coordination skills with good attention to detail.

Able to manage multiple tasks and meet deadlines in a fast-paced environment.
