Overview

Executive Operations & Internal Coordination Officer

At BJAK, we are building Southeast Asia's leading digital financial platform - fast. As the organization scales, we require a highly reliable and detail-oriented internal execution role to support daily operations across teams. This role serves as a central internal support function, working closely with HR, Marketing, Finance, and Operations to ensure follow-ups, coordination, and execution are carried out smoothly.

  • Support multiple departments by handling administrative, coordination, and execution tasks

What You Will Do
1. CEO Support & Priority Management
  • Provide day-to-day support to the CEO, including managing schedules, meetings, documentation, and follow-ups
  • Track and follow through on CEO priorities, action items, and decisions across teams
  • Prepare briefing notes, summaries, and materials for internal and external meetings
  • Act as a point of coordination between the CEO and internal stakeholders
2. Cross-Functional Execution
  • Support ad-hoc projects that cut across multiple functions (e.g. HR, Operations, Finance, Product, Marketing)
  • Coordinate with internal teams to gather updates, align timelines, and unblock execution issues
  • Ensure deliverables are completed on time and issues are escalated appropriately
  • Drive follow-ups without formal authority
3. Administrative & Operational Tasks
  • Handle hands-on administrative work such as documentation, data tracking, reporting, and task coordination
  • Organise information, files, trackers, and workflows to support decision-making
  • Assist with logistics, scheduling, and operational arrangements as required
4. Problem-Solving & Ad-Hoc Support
  • Identify gaps, risks, or inefficiencies and propose practical solutions
  • Handle unexpected requests or last-minute changes with composure and clarity
  • Support special projects or urgent matters as assigned by the CEO
What You Bring
  • 3+ years of experience in administrative support, operations, HR coordination, or similar roles
  • Strong spreadsheet and documentation skills (Google Sheets / Excel / Docs)
  • Ability to track multiple tasks and follow up across different teams
  • Clear written communication skills for internal updates and recaps
  • High level of discretion and professionalism when handling internal information
  • Comfortable working in a fast-paced environment with shifting priorities
