We are seeking a highly organised, proactive, and discreet Executive Assistant to CEO to provide comprehensive administrative and operational support directly to the CEO. This role requires exceptional attention to detail, a professional demeanour, and the ability to handle confidential information with integrity. The ideal candidate will be an energetic self‑starter who can anticipate needs and streamline the CEO’s workflow to ensure maximum efficiency.
Qualifications & Requirements
- Unshakeable Discretion: You understand that "private" means private and keep the CEO's business separate from the office.
- Tech Wizardry: You hate paper, use Microsoft Office Suite, AI tools, email, and software to organise meetings, track tasks, and keep the team connected, and adapt quickly to new technology platforms.
- Flawless English and Chinese: As the voice of the CEO in emails and calls, your written and spoken English and Chinese must be perfect.
- The "Fixer" Mentality: You don't just report problems; you find solutions.
- Ownership of tasks from start to finish.
Executive & Administrative Support
- Key Account Management: Proactively manage the client's business accounts and maintain relationships with key clients.
- Company Management: Proactively manage the CEO's different business entities in other countries, ensuring timely follow‑up on company secretary matters, accounting, bank accounts, office addresses, and others.
Meeting Preparation & Follow‑up
- Board & Stakeholder Meetings: Prepare and organise materials (agendas, presentations, background documents) for key meetings, including board and internal meetings.
- Minutes & Action Items: Attend key meetings to take detailed notes and accurately record action items and decisions, and ensure timely follow‑up on outstanding tasks and commitments made by the CEO.
- Confidentiality: Handle highly sensitive, confidential, and proprietary information with the utmost discretion and professionalism.
Operations Management
- Project Assistance: Assist the CEO with special projects, research assignments, and event planning as required, including light research on regulatory changes, potential partners, or industry trends.
- Record Keeping: Organise and maintain physical and electronic files and records for the CEO’s office.
