Position: Executive Assistant cum Administrative Executive

Position Overview
The Executive Assistant cum Administrative Executive will provide direct, high-level support to the CEO, ensuring smooth day-to-day operations, effective coordination, and strict confidentiality. This role requires a highly organised, presentable, and proactive individual who can manage executive priorities, administrative matters, and internal coordination with professionalism.
Key Responsibilities
Executive Support
- Act as the primary point of contact between the CEO and internal/external stakeholders.
- Manage the CEO’s calendar, meetings, appointments, and travel arrangements.
- Prepare, review, and manage emails, correspondence, reports, presentations, and documents.
- Attend meetings when required, take minutes, track action items, and follow up on deliverables.
- Handle sensitive and confidential information with absolute discretion.
Administrative & Office Management
- Oversee day-to-day administrative operations to ensure office efficiency.
- Coordinate with HR, Finance, Operations, Sales, and Technical teams on behalf of the CEO.
- Manage filing systems (physical and digital), contracts, and key company records.
- Assist in preparing internal memos, notices, letters, and management documentation.
- Support onboarding documentation and coordination for new hires when required.
Coordination & Communication
- Liaise with vendors, contractors, consultants, and external partners.
- Coordinate inter-departmental communication to ensure alignment with CEO directives.
- Assist in tracking follow-ups on projects, deadlines, and management instructions.
- Support ad-hoc tasks and special projects assigned by the CEO.
Requirements & Qualifications
- Diploma / Bachelor’s Degree in Business Administration, Management, or a related field.
- Minimum 2–5 years of experience as an Executive Assistant, PA, or Admin Executive supporting senior management.
- Fluent in English and Bahasa Malaysia; Mandarin/Chinese is required for business communication.
- Strong written and verbal communication skills.
- Highly organised, detail-oriented, and able to multitask under pressure.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Able to work independently with minimal supervision.
- Professional appearance, confident, and presentable when dealing with clients and senior stakeholders.
