Job summary

A manufacturing company is seeking a dynamic Executive Assistant to provide high-level support to the Site Manager and leadership team. This role involves executive-level administrative tasks, business operations coordination, and data-driven reporting in a fast-paced environment. The ideal candidate has a Bachelor’s degree, 3+ years of relevant experience, and strong skills in Microsoft 365. Excellent communication in English and additional languages is a plus. You will facilitate smooth office operations and promote continuous improvement initiatives.

Qualifications

  • 3+ years of experience in executive or senior administrative support, preferably in a corporate or manufacturing environment.
  • Proven ability to prepare executive-level materials and contribute to process improvement.
  • Excellent communication skills in English, and preferably in Bahasa Malaysia and/or Mandarin.

About the Role

We are looking for a dynamic and highly organized Executive Assistant to provide high-level support to our Site Manager and leadership team. This role goes beyond traditional administrative duties — combining executive support, business operations coordination, and data-driven performance reporting in a fast-paced manufacturing environment.

You will play a key role in ensuring smooth office operations, effective cross-functional coordination, and strong decision support through analytics and continuous improvement initiatives.

Key Responsibilities
  • Provide executive-level administrative support including calendar management, meeting coordination, travel arrangements, and executive communications.
  • Act as a central point of contact for internal and external stakeholders, ensuring smooth information flow and follow-ups.
  • Coordinate across Operations, Finance, HR/Admin, Quality, EHS, and Compliance to track actions and drive closure.
  • Prepare management reports, dashboards, and KPI summaries using tools such as Excel, Power BI, and ERP systems.
  • Support performance tracking, budgeting, and procurement processes with accurate documentation and compliance.
  • Lead office process improvements through standardization, automation, and continuous improvement initiatives.
  • Supervise and guide clerical staff to ensure effective administrative support across departments.
  • Handle confidential information with the highest level of integrity and professionalism.
  • Any other tasks as assigned.
Requirements
  • Bachelor’s degree in Business Administration or a related field.
  • Minimum 3 years of experience in executive or senior administrative support, preferably in a corporate or manufacturing environment.
  • Proven ability to prepare executive-level materials and contribute to process improvement initiatives.
  • Strong command of Microsoft 365 (Outlook, Excel, PowerPoint, Teams, SharePoint); experience with Power BI and ERP systems is an advantage.
  • Excellent communication skills in English; Bahasa Malaysia and/or Mandarin is an added advantage.
  • Highly organized, detail-oriented, and able to manage multiple priorities with discretion and professionalism.
  • A proactive mindset with strong stakeholder management and continuous improvement orientation.
