A leading food manufacturing company in Malaysia is seeking an Executive Assistant to support C-Suite executives. The successful candidate will manage executive meetings, prepare reports, and coordinate with stakeholders. Applicants should have a Bachelor's degree and 3-5 years of relevant experience, particularly in manufacturing. Proficiency in Microsoft Office and strong communication skills are essential. Act as a strategic partner to the C-Suite in managing priorities, workflows, and execution of key initiatives.
Support leadership in translating strategic direction into actionable plans.
Monitor progress of key deliverables and follow up with stakeholders to ensure timely execution.
Coordinate and support cross-functional projects, ensuring alignment with business objectives.
Track milestones, risks, and action items; provide regular updates to management.
Support continuous improvement initiatives to enhance operational efficiency.
Prepare high-quality management presentations, reports, and executive communications.
Ensure clarity, accuracy, and professionalism in all written and verbal communications.
Act as a central communication point between leadership, internal teams, and external stakeholders.
Plan and manage executive meetings, leadership sessions, town halls, and offsite meetings.
Prepare agendas, presentation materials, and minutes of meetings.
Ensure proper follow-up and closure of action items.
Serve as a liaison between the C-Suite, department heads, and external partners.
Support alignment across departments and ensure smooth information flow.
Handle sensitive and confidential matters with professionalism and discretion.
Oversee documentation, records, and data management in a structured and confidential manner.
Ensure information accuracy, accessibility, and compliance with company standards.
Bachelor’s Degree in Business Administration, Management, or related field.
Minimum 3–5 years of experience in executive support, operations, or management coordination roles.
Experience in manufacturing or similar operational environments is an advantage.
Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Teams) and collaboration tools (e.g., Microsoft Planner).
Strong organizational, coordination, and stakeholder management skills.
High level of professionalism, discretion, and accountability.
Strong analytical and problem-solving capabilities.
Excellent written and verbal communication skills.
Able to work independently, manage multiple priorities, and perform under pressure.
Willing to be based in Pulau Indah, Selangor.
