Responsibilities
- Provide comprehensive administrative and executive support to the COO
- Manage calendar, meetings, appointments, and travel arrangements
- Act as the main point of contact between the COO and internal/external stakeholders
Meetings & Coordination
- Prepare agendas, briefing notes, and presentation materials
- Attend meetings when required, record minutes, and track action items
- Follow up with departments to ensure timely completion
- Draft and coordinate official communications and reports
Reporting & Documentation
- Compile management reports and operational updates
- Maintain proper records and documentation
- Assist in the preparation of board papers and business reports
Cross-Department Coordination
- Liaise with department heads for updates and submissions
- Monitor deadlines and KPIs, and update the COO regularly
Operational & Administrative Support
- Track key projects and keep the COO informed of progress
- Support ad‑hoc tasks and special assignments
- Coordinate logistics for meetings and company events
- Highlight priorities and ensure the COO is prepared for key matters
Confidentiality & Professional Conduct
- Handle sensitive matters with discretion and integrity
- Maintain professionalism and confidentiality at all times
Flexibility & Additional Support
- Provide additional support as required, including occasional travel and flexible working hours
Candidate Requirements
- Around or more than 5 years’ experience as an Executive Assistant supporting C‑suite executives (preferably COO/CEO level)
- Experience in automotive retail, dealership operations, or multi‑branch retail operations is an added advantage
- Strong understanding of dealership sales and after‑sales operations is an added advantage
- Proven experience handling confidential and high‑level corporate matters
- Fluent in written & spoken English & Mandarin (essential for dealing with stakeholders), BM is a plus
- Advanced Excel and PowerPoint skills (comfortable handling data‑heavy reports)
- Strong organizational, communication, and follow‑up skills
- Able to work independently, manage tight deadlines, and travel to other states within Malaysia when required
- Comfortable supporting the COO during client entertainment sessions, business dinners, and relationship‑building events
- Have the flexibility to attend after‑hours business engagements when necessary
- Maintain a professional and polished appearance appropriate for executive‑level engagements and corporate events
