Responsibilities
External Examinations (Cambridge IGCSE, AS / A Level)
- Registration and Entries: Manage the complete cycle of candidate registration and exam entries for all external qualifications with CAIE ensuring deadlines are met and all data (names, dates of birth, subjects, tiers/options) is accurate.
- Administration and Logistics: Oversee all logistical aspects of running external examinations including ordering and secure storage of exam papers setting up examination halls and arranging necessary materials (e.g. stationery calculators).
- Invigilation Management: Train and manage a team of invigilators ensuring appropriate staffing levels and strict adherence to invigilation protocols and awarding body requirements during all exam sessions.
- Exam Conduct: Ensure the strict and proper conduct of all external examinations following all CAIE regulations concerning seating plans start/finish times malpractice procedures and candidate welfare.
- Post-Exam Administration: Manage the secure collection packaging and dispatch of completed examination scripts to CAIE according to courier deadlines and tracking procedures.
- Results Processing and Distribution: Download verify and prepare external exam results oversee the accurate and timely distribution of results certificates and statements of results to candidates and designated school staff.
- Queries and Post-Results Services: Handle enquiries related to external results including managing requests for post‑results services (e.g. remarks access to scripts) in compliance with awarding body deadlines and processes.
- Compliance and Record Keeping: Maintain meticulous up‑to‑date records and files related to all external exam administration ensuring full compliance with CAIE regulations and inspection requirements.
Internal Examinations (Mock and End‑of‑Year Exams)
- Planning and Scheduling: In conjunction with the assistant head academic plan coordinate and publish the examination timetables for end‑of‑Year 9 and Year 10 internal exams and for Mock exams in Year 11 Year 12 and Year 13.
- Paper Management: Coordinate the timely submission of internal examination papers from teaching staff ensuring correct formatting secure printing and distribution.
- Internal Exam Logistics: Manage the logistical set‑up and running of all internal examination sessions mimicking the external exam conditions as closely as possible to prepare students.
General Responsibilities
- Communication: Serve as the primary point of contact for external awarding bodies (CAIE) and internal stakeholders (SLT teaching staff students and parents) regarding all exam‑related matters.
- Policy Adherence: Work under the direct supervision of a member of the SLT to ensure all practices and procedures align with school policy and external awarding body rules.
- Training: Provide essential training to staff and students on examination procedures regulations and conduct.
- Resource Management: Manage the budget allocated for exam‑related resources invigilation and materials.
Minimum Requirements
- Experience: Proven administrative experience ideally within an educational setting with a strong preference for candidates who have worked with international examination boards (e.g. Cambridge Edexcel IB).
- Education: A minimum of a relevant tertiary qualification (e.g. Bachelor’s Degree or equivalent).
- Technical Proficiency: Excellent IT skills including high proficiency in Google Workspace especially spreadsheets databases and experience using online examination portals/management systems.
- Organisational Skills: A track record of exceptional organisational ability meticulous attention to detail and proven capacity to manage complex time‑sensitive schedules and administrative tasks accurately.
- Personal Attributes:
- Integrity and Confidentiality: An absolute commitment to maintaining the integrity and confidentiality of all examination materials results and student data.
- Communication: Excellent interpersonal and communication skills with the ability to clearly articulate complex regulations to diverse stakeholders.
- Resilience: The ability to work calmly and effectively under pressure particularly during peak examination periods.
- Desirable: Experience in a reputable international school or multicultural educational environment would be highly regarded.
