Operations Executive (Exhibitions & Events)

Responsibilities
  • Assist in event planning from start to finish according to requirements, target audience, and objectives.
  • Come up with suggestions to enhance the event's success.
  • Work with budgets and ensure adherence.
  • Source and negotiate with vendors and suppliers.
  • Handle necessary documentation including permits, licenses, etc.
  • Be in charge of scouting for vendors based on components assigned.
  • Coordinate all operations and communication under your assigned component.
  • Ensure events are completed smoothly and step up to resolve any problems that might occur.
  • Execute and manage any other ad-hoc tasks, special projects, or strategic assignments as directed by Head of Department.
Job Requirements
  • Bachelor degree in Event Management, Hospitality, Public Relations, Marketing, or a related field.
  • At least 2–4 years of experience in event planning, coordination, or project management.
  • Familiarity with the legalities of events, including the process of securing permits, licenses, and insurance.
  • Strong ability to manage budgets, track expenses, and ensure high quality delivery without overspending.
  • Proven ability to source, vet, and negotiate with vendors/suppliers to secure the best rates and service levels.
  • Skilled in end-to-end planning, from initial brainstorming and objective setting to post-event breakdown.
  • A \"firefighting\" mindset with the ability to remain calm under pressure and resolve logistical issues on the fly.
  • Excellent verbal and written communication skills for managing multi-stakeholder relationships (vendors, internal teams, and leadership).
  • Flexibility to handle ad-hoc tasks and \"strategic assignments\" that may fall outside the standard scope of work.
  • High attention to detail with the ability to juggle multiple components of an event simultaneously.
