The Document Controller within the Shared Services Center (SSC) is responsible for managing, controlling, and maintaining company and project documentation in accordance with established procedures, quality standards, and client requirements. The role supports multiple stakeholders by ensuring accurate, timely, and compliant document control services across the organization.
Responsibilities
- Document Control & Administration: Manage and maintain documentation throughout the full lifecycle of projects and corporate activities.
- Ensure all document control activities comply with approved procedures, guidelines, and quality standards.
- Maintain and update Master Document Registers (MDRs).
- Accurately register, track, and distribute documents within the electronic Document Management System (DMS/eDMS).
- Ensure correct application of document numbering, version control, and revision status.
- Support project teams by setting up document structures in the eDMS in line with client or internal requirements.
- Produce standardized document templates and client documentation packages as required.
- Coordinate the timely delivery of documentation in accordance with agreed schedules.
- Stakeholder & Process Support: Interface with internal departments and external stakeholders requiring document control support.
- Monitor document control processes and recommend improvements to enhance efficiency and compliance.
- Promote document control best practices across SSC and supported business units.
- Provide guidance and training to users on DMS/eDMS systems when required.
- HSEQ & Compliance: Comply with all Health, Safety, Environmental, Quality, and Security (HSEQ) policies and procedures.
- Ensure documentation activities align with company, client, and statutory requirements.
- Escalate issues of importance relating to documentation quality or compliance to the Line Manager.

Qualifications
- Minimum 2+ years’ experience in Document Control, Project Support, or a related administrative role.
- Experience working with Electronic Document Management Systems (eDMS).
- Familiarity with document control processes, QA requirements, and audit practices.
- Proficient in Microsoft Office and PDF applications.
- Experience handling controlled documents such as drawings, procedures, manuals, and reports.
- Language proficiency: Fluent in English; proficiency in Norwegian is an advantage.
- Experience in document control handling EMEA, US, European countries, Mexico, and APAC within the oil & gas industry is an advantage.
