Job description

The Document Controller is responsible for controlling the numbering, filing, sorting and retrieval of electronically stored or hard copy documentation produced by technical teams, projects or departments in a timely, accurate and efficient manner.

Duties and responsibilities:
  • Generation of ASME U1/ U2/ A1 / U4 forms for ASME Jobs based on progress of respective Job No.
  • Submission of design documents to DOSH and follow up with DOSH for approval of design.
  • Booking of AI / TPI / PMI / Hardness / DOSH for Inspection
  • Initial review of MDR for Completed Jobs
  • Update of NCR logs / NB Logs / JM PV Logs / Repair Log on a bi-monthly basis
  • Update of QA Quality Objective - NCR analysis / NDT Reject on a monthly basis
  • Plan and arrange the critical instruments for rental for Hydrotest (pressure Gauges / Temperature Recorders and etc.) when needed for inspection.
  • Assist in preparation of ASME / QMS documents.
  • Back up and monitor other DC activity (distribute Drawings, Procedure, Update Documents Status, MDR Monthly Status)
  • Arranging the new Instruments for QAQC team, as and when required
  • Preparation of Welder continuity records - ASME, AS code, AWS code.
  • Expedite with QC for the progressive completion of MDR based on bi-weekly basis.
  • Submission and filing of documents related with NB / ASME
  • Update of WPS List / Welder List as per the new WPS and a new qualified Welder on a monthly basis.
  • Monitoring the calibration records and arrange for calibration for JM instruments on a bi-monthly basis.
  • Preparation of PMI procedure per client spec requirements.
  • Follow up of NCR close outs and update of NCR File upon close outs on a monthly basis.
  • Calibration of densitometer / record in calibration book
  • Raising MR and follow up for the purchase of new Step tablet.
  • Preparation of Welder Card.
  • Preparation and follow up TQ for ASME U1 form details on a bi-yearly basis.
  • Update of NDT Level II & Level III documents on a bi-yearly basis.
  • RT Film collection and storage with job number wise for every job upon completion.
  • Preparation of Vision Test Reports & Eye Test for QC inspectors and NDE level II on a bi-yearly basis.
  • Preparation of Questionnaire for NDT Level II & QC Inspectors.
  • Storage of MDR Records on a bi-yearly basis.
  • Update of List of Codes / Specification on a bi-yearly basis.
  • Filing of ASME U1/U2 forms on a bi-yearly basis.
  • To take action for client comments on MDR based on specific job requirement.
  • Perform other responsibilities associated with this position as may be appropriate under the direction of the Management.
Job Requirement:
  • Preferably Diploma or Technical School background
  • At least two years of practical and hands-on experience in document management roles related to engineering, design, and fabrication of process equipment industry i.e ACHE
  • Basic understanding of Engineering / Procurement / Construction / Commissioning documents.
  • Self-directed and highly-motivated.
  • Able to work in a fast-paced and deadline-driven environment.
  • Detail-oriented, dependable and trustworthy.
  • Excellent MS Suite software knowledge and good working knowledge of Adobe Acrobat.
  • Familiar with e-Document management systems is an added advantage.
