A reputable construction firm in Kuala Lumpur is seeking a Document Controller to manage incoming and outgoing correspondence. The ideal candidate will have at least 2 years of experience in document management, with knowledge of SmartSolve Document Management or similar systems. Responsibilities include scanning, distributing documents, and maintaining compliance with health and safety regulations. Receive, scan and register all incoming correspondence into the Master List for HQ Office.
Distribute/circulate incoming hard copy correspondence to the Secretary and Project Site Document Controller for further action and notes by the Project Director.
Distribute/circulate incoming hard copy correspondence to internal departments that are not related to project documentation.
Scan and upload all project confidential and commercial correspondence into Team Binder in Eight EDMS for record and archiving.
Check, sort and photocopy outgoing hard copy letters and pass them to Dispatch for courier.
Ensure all hard copy outgoing letter acknowledgements are properly recorded and filed.
Carry out any other related duties as required by the Document Control Manager and Management Team from time to time.
Maintain reasonable care for Health, Safety, Environmental and Welfare as per the Occupational Safety & Health Act, company policy and OSH Management System.
Candidate must possess at least a Diploma or Bachelor’s Degree or any other qualification related to the role.
