A logistics and supply chain company in Malaysia is seeking a Junior Executive to provide comprehensive logistics documentation and coordinate shipment activities. The ideal candidate should possess a degree in Business Admin or Logistics and KEK certification with 2-3 years of relevant experience. Responsibilities include managing shipment arrangements, supporting e-commerce fulfilment, and ensuring compliance with logistics standards. This role demands proactivity and the ability to work independently as well as in a team.
Provide comprehensive logistics documentation support for both free-sample and purchase-order transactions, including the preparation of all requisite export and domestic documents (Custom Forms GPBAM and GPB1, Delivery Orders, Invoices, Packing Lists) and ensuring Safety Data Sheets are appended to the relevant cargo materials.
Coordinate end-to-end shipment arrangements and ensure successful delivery to the customer’s premises for both sample and PO shipments. Responsibilities include liaising with store personnel on packing requirements, engaging freight forwarders for air or ocean bookings, arranging courier services, resolving customs-related issues, and responding promptly to customer shipment inquiries.
Monitor and retrieve acknowledged Delivery Order copies from domestic customers; track Proof-of-Delivery through courier systems; follow up on the issuance of K2 forms for all international shipments; and maintain organised documentation for customs on-site audits when required.
Support e-commerce fulfilment activities through to consignee delivery, including inventory monitoring, ensuring production build and QC testing are completed within required timelines, creating sales and work orders, coordinating payment matters, and overseeing shipping arrangements.
Review and verify supplier invoices to ensure correct billing; investigate discrepancies and provide substantiated evidence in cases of identified overcharges, particularly for shipments offered with free freight.
Issue petty cash for import duties and SST-related charges, ensuring compliance with internal financial procedures.
Act as the coordinator for customer-specific logistics or documentation requirements, ensuring adherence to unique client standards.
Provide support and ensure compliance during IATF internal and external audits, as well as customer audits when applicable.
Contribute to co-curricular and continuous-improvement initiatives such as 5S implementation; manage departmental KPIs; address general customer complaints; and undertake ad hoc assignments or process-improvement tasks as required.
