Duties & Responsibilities

Inside Sales Support

• Responsible to source and purchase materials from both local and overseas vendors.
• Generate customer quotations at advised margin in a timely manner.
• Serve as the customer’s key contact person for order management and attend customer calls.
• Follow up on account receivables to avoid delivery block by Finance and maintain positive cash flow.
• Support sales report provision to sales representatives.
• Attend to customer complaints, log details and coordinate with internal stakeholders to provide resolution within the expected timeframe.

Customer Order Management

• Follow established processes to review customer purchase orders, communicating with customers if any additional or special requirement is needed.
• Process customer orders efficiently and accurately by providing confirmation notifications.
• Perform order entry in the system, including sales order, purchase order (to vendor), proforma invoice, goods receipt, purchase invoice, delivery note, and tax invoice.
• Communicate with vendor to monitor efficient arrival of purchased products and provide regular shipment updates.
• Provide customer service by staying on top of outstanding orders and shipment status.
• Liaise and work closely with third‑party service providers or warehouse personnel to ensure quality and quantity fulfilment of incoming goods.
• Coordinate inbound and outbound delivery arrangements with third‑party providers.
• Pick products based on FEFO followed by FIFO, provide shipping instructions, and complete shipping documents to third‑party service providers or customers to ensure seamless delivery.
• Provide necessary support to third‑party providers or internal stakeholders to ensure on‑time delivery.
• Handle product sample orders and demo unit requests as required.

Administrative Activities

• Perform assigned administrative activities when necessary.
• Maintain a systematic filing system and necessary record retention to fulfill the ISO9001 standard.

Qualifications & Skills

• Fresh graduates are welcome to apply. Having trading business experience is a plus.
• Familiarity with adhesive products and experience handling dangerous goods is an added advantage.
• Knowledge of ERP systems.
