Job summary

Job description

We are looking for a responsible and detail-oriented Compliance & Administrative Executive to support the organization in maintaining statutory, safety, and ISO-related compliance across HQ and branches. This role serves as a central coordination point for compliance governance, ISO documentation control, safety coordination, and administrative support to ensure adherence to established standards and company procedures.

Job responsibilities
  • Monitor and coordinate day-to-day administrative, governance, sustainability, and risk-related activities across HQ and branches in accordance with company procedures.
  • Coordinate communication between HQ and branches on administrative and compliance matters, maintain proper records, and support audits, inspections, and compliance activities.
  • Act as ISO Document Controller, responsible for maintaining SOPs, Work Instructions (WI), policies, templates, and document version control, including document approval workflows and updates to branches.
  • Maintain a centralized repository for all QMS and compliance documents, track branch readiness for ISO audits, monitor non-conformities and CAPA/CAPAR progress, and ensure documentation is complete and audit-ready.
  • Liaise with HQ and branches on statutory, governance, safety, and compliance matters, including tracking certificate and service renewals (e.g. DOSH, JKKP, equipment certifications).
  • Consolidate safety and incident reports, monitor action-plan closures, and follow up with responsible parties.
  • Maintain group compliance trackers, highlight compliance gaps to management, and support coordination for safety inspections, committee meetings, and audit preparation.
  • Prepare monthly compliance summaries, ISO document trackers, and safety dashboards to support audits and management review.
Job requirements
  • Minimum Diploma in Business Administration, Management, Compliance, Occupational Safety & Health, or related field. (Additional certifications in ISO, Safety & Health will be an added advantage.)
  • Minimum 2 years working experience in compliance, safety coordination, ISO documentation, or similar roles.
  • High attention to detail, accuracy, and strong follow-up discipline.
  • Organized, structured, and able to manage multiple priorities with tight deadlines.
