Job summary

A corporate services company in Sabah is seeking a Company Secretary Assistant to support the preparation and filing of statutory documents. Responsibilities include maintaining statutory records, drafting resolutions and meeting minutes, and coordinating Board meetings. The ideal candidate should be proficient in Microsoft Office and have a keen understanding of corporate & commercial law. This position requires attention to detail and good communication skills, offering an opportunity for growth in the corporate sector.

Qualifications

  • Experience as a Company Secretary Assistant is preferred.
  • Familiarity with statutory document preparation.
  • Attention to detail in maintaining records.

Responsibilities

  • Assist in preparing and filing statutory documents with relevant authorities.
  • Maintain company statutory records and registers.
  • Draft resolutions, meeting minutes, and notices.
  • Coordinate Board meetings and ensure compliance with deadlines.

Assist in preparing and filing statutory documents with SSM (or relevant authorities).

Maintain and update company statutory records, registers, and minute books.

Draft resolutions, meeting minutes, notices, and correspondence.

Assist in preparing Annual Returns, incorporation documents, and changes of directors/share capital.

Coordinate Board of Directors and shareholders’ meetings (logistics, documents, follow-ups).

Monitor statutory deadlines and ensure timely submissions.

Liaise with clients, auditors, tax agents, banks, and government agencies.

Maintain proper filing systems (physical and electronic).

Support the Company Secretary on compliance research and ad-hoc assignments.
