Assistant Manager, Events and Promotions
Providing end-to-end support in campaign and promotion management including planning, strategising, internal agency communication and update company/ division’s key messages via various agency communication platforms; at the same time, to support department in event management, contest execution and other administrative support as and when required.
Campaign & Promotion Management
- Strategise, plan and execute promotional initiatives and action plans to support company’s major and tactical sales campaigns, ensuring all assigned tasks are delivered successfully within the stipulated timeline.
- Develop an annual promotional calendar and coordinate with internal teams and external vendors to ensure smooth activation and completion of all promotional activities.
- Manage posting of promotional materials (flyers, videos) on the department’s Facebook private group (Great Events) and WhatsApp group (SBDU Channels), including crafting captions and messages.
- Plan and execute procurement processes (RFI, RFQ, RFP) for contest reward items such as mooncake gift sets, personalised New Year gifts, and long-service award pendants.
- Coordinate end-to-end activities from sourcing, ordering, packing, delivery, and logistics to project completion.
- Evaluate the effectiveness of all campaign promotional materials and ensure all costs remain within the approved budget.
- Assist the Head of Department in reviewing contest budgets as required by the AP&P department.
Media Publication Management
- Manage agency channel newspaper recognition, including coordination with internal teams, creative agencies, and media partners.
- Coordinate with the Brand & Communications department on matters related to the company’s annual report, diaries, and festive greeting card orders for the agency force.
Agency Communications Support
- Prepare internal agency communications and other write-ups (e.g., circulars, email content, push messages, SMS, Facebook posts, scripts), including proofreading materials from co-departments within the division.
- Serve as backup support for ePartner postings, UAT (as required), SMS, Internet Correspondence Module, and management of the department’s general mailbox.
Event Management Support
- Assist company’s major events and to ensure the tasks assigned are executed successfully and smoothly.
- Support the department in sourcing, ordering, packing, delivery, logistic and coordination of matters relating to events and promotions, as and when required.
Social Media Management
- Manage and administer Facebook private groups, including updating agent listings, approving or removing members (new or resigned staff), and posting content requested by other departments.
- Ensure all postings are verified, accurate, and completed within the turnaround time (TAT) of two working days, or one working day for urgent requests.
Procurement Activities
- Ensure all procurement activities comply with GELM Procurement Operating Guidelines and maintain proper documentation for review or audit purposes.
- Take accountability in considering business and regulatory compliance risks and take appropriate steps to mitigate the risks.
- Maintain awareness of industry trends on regulatory compliance, emerging threats and technologies in order to understand the risk and better safeguard the company.
- Highlight any potential concerns /risks and proactively share best risk management practices.
- Bachelor’s degree in Marketing, Communications, Business Administration, or a related field.
- Professional certifications in Digital Marketing, Event Planning, or Procurement (optional but advantageous).
- 3 - 5 years of experience in marketing campaigns or promotions.
- Proven track record in social media management and content creation.
- Experience in vendor management and procurement processes.
- Familiarity with budget planning and cost control for campaigns and events.
- High level of integrity, take accountability of work and good attitude over teamwork.
- Take initiative to improve current state of things and adaptable to embrace new changes.
