Job description

The role coordinates end-to-end recruitment activities from job advertisement and candidate shortlisting to interview arrangements and data management. This position works closely with the Human Capital and Human Resource Business Partner (HRBP) teams to ensure the recruitment and interview processes are executed efficiently and in compliance with company procedures.

Key Responsibilities
A. Recruitment Processing

Assist in coordinating the end-to-end recruitment process in accordance with approved manpower requests and company policies.

Prepare and publish job advertisements on relevant job portals, company websites, or social media platforms upon confirmation and approval.

Ensure job postings are accurate and aligned with approved job descriptions and manpower requisition details.

Review incoming applications and shortlist candidates based on established criteria for the requesting department’s further evaluation.

B. Interview Coordination and Liaison

Liaise with the Human Capital (HC) and Human Resource Business Partner (HRBP) teams to ensure interview sessions are planned and conducted smoothly.

Identify and confirm the panel of interviewers in consultation with the requester, HRBP, Team Lead, HRM and Specialist, H2R.

Coordinate and confirm interview dates, times and venues (physical or virtual) with HC and HRBP.

Contact shortlisted candidates to inform them of interview details, required documents and attendance confirmation.

Prepare interview schedules and relevant documentation for the interview panel.

Provide on-site or virtual administrative support during interviews, such as attendance tracking and collection of evaluation forms.

C. Recruitment Data and Reporting

Maintain accurate recruitment records and status updates in the HR Information System (HRIS).

Ensure timely data entry and consistency between system records and supporting documents.

Assist the Specialist, Hire to Retire in preparing recruitment reports or statistics for management review as and when required.

Support ad-hoc reporting or data requests related to recruitment activities and performance indicators.

D. Administrative and Coordination Support

Maintain proper filing of recruitment-related documents, including applications, interview records, and correspondence.

Handle candidate communication such as acknowledgements, invitations and regret letters.

Coordinate with internal departments, HRBPs and relevant stakeholders to ensure timely completion of recruitment activities.

Assist the Hire to Retire team in other administrative tasks or HR projects as assigned.

Others

Other directives and assignments given by the Company, Chief Executive Officer of SEDC Global Business Services Sdn Bhd and/or Head, Group Shared Service Centre of SEDC, Company’s Boards and SEDC Management in relation to the management and operations of the assigned business units/companies from time to time.
