Assist in planning, organizing, and executing a portfolio of events (e.g., conferences, galas, meetings, fundraisers, launches, internal events)
Serve as event lead for assigned programs, managing timelines from concept through post-event evaluation
Ensure events align with organizational goals, brand standards, and audience expectations
Project & Budget Management
- Develop and manage event budgets; track expenses and ensure cost control
- Assist with contract negotiation and vendor procurement
- Maintain detailed event timelines, run-of-show documents, and checklists
- Supervise and train event coordinators, interns, temporary staff, or volunteers as assigned
- Act as point of contact for vendors, venues, and external partners
- Coordinate cross-functionally with marketing, development, communications, facilities, and leadership teams
- Support event strategy development and annual planning
- Collect and analyze post-event feedback, attendance data, and ROI metrics
- Recommend improvements to processes, tools, and attendee experience
On-Site Event Management
- Manage on-site event operations, including staff coordination and issue resolution
- Serve as escalation point during events to ensure smooth execution
Qualifications
Required
- Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or related field (or equivalent experience)
- 3–6 years of progressive experience in event planning or event management
- Proven experience managing multiple events and deadlines simultaneously
- Strong organizational, communication, and problem-solving skills
- Experience managing budgets and working with vendors
Preferred
- Experience leading or supervising staff
- Familiarity with event management software, CRM systems, and registration platforms
- Knowledge of accessibility, risk management, and safety best practices
- Experience with high-profile, large-scale, or complex events
- Excellent attention to detail and time management
- Calm, adaptable, and solution-oriented under pressure
- Strong interpersonal and stakeholder management skills
- Ability to work evenings, weekends, and travel as required
- Hybrid/On-site (as applicable)
- Occasional lifting, standing, and extended hours during events
