Assist in planning, organizing, and executing a portfolio of events (e.g., conferences, galas, meetings, fundraisers, launches, internal events)

Serve as event lead for assigned programs, managing timelines from concept through post-event evaluation

Ensure events align with organizational goals, brand standards, and audience expectations

Project & Budget Management
  • Develop and manage event budgets; track expenses and ensure cost control
  • Assist with contract negotiation and vendor procurement
  • Maintain detailed event timelines, run-of-show documents, and checklists
  • Supervise and train event coordinators, interns, temporary staff, or volunteers as assigned
  • Act as point of contact for vendors, venues, and external partners
  • Coordinate cross-functionally with marketing, development, communications, facilities, and leadership teams
  • Support event strategy development and annual planning
  • Collect and analyze post-event feedback, attendance data, and ROI metrics
  • Recommend improvements to processes, tools, and attendee experience
On-Site Event Management
  • Manage on-site event operations, including staff coordination and issue resolution
  • Serve as escalation point during events to ensure smooth execution
Qualifications
Required
  • Bachelor’s degree in Event Management, Hospitality, Marketing, Communications, or related field (or equivalent experience)
  • 3–6 years of progressive experience in event planning or event management
  • Proven experience managing multiple events and deadlines simultaneously
  • Strong organizational, communication, and problem-solving skills
  • Experience managing budgets and working with vendors
Preferred
  • Experience leading or supervising staff
  • Familiarity with event management software, CRM systems, and registration platforms
  • Knowledge of accessibility, risk management, and safety best practices
  • Experience with high-profile, large-scale, or complex events
  • Excellent attention to detail and time management
  • Calm, adaptable, and solution-oriented under pressure
  • Strong interpersonal and stakeholder management skills
  • Ability to work evenings, weekends, and travel as required
  • Hybrid/On-site (as applicable)
  • Occasional lifting, standing, and extended hours during events
