Job summary

KEY ROLES :

  • Process Direct Purchases: Upon receiving an electronic Purchase Order (PO), promptly review and process the request to ensure accuracy and compliance with procurement policies and procedures.
  • Source Goods and Services: Identify and select appropriate vendors or service providers based on the organization’s requirements, ensuring quality, cost-effectiveness, and timely availability of the requested items.
  • Issue Purchase Orders (POs): Generate and release Purchase Orders (POs) in a timely manner, ensuring all necessary details such as specifications, quantities, pricing, and delivery terms are accurately reflected.
  • Prepare Procurement Reports: Compile and maintain comprehensive reports related to Purchase Requisitions (PRs) and Purchase Orders (POs), ensuring accurate documentation and record-keeping for audit and reference purposes.
  • Monitor Delivery and Compliance: Track and oversee the procurement process to ensure that goods and services are delivered within the agreed timelines and in accordance with the specified requirements. Address any delays or discrepancies proactively to avoid operational disruptions.
  • Perform Additional Duties: Carry out any other responsibilities or tasks assigned by management or the Supervisor, ensuring flexibility and responsiveness to organizational needs.

REQUIREMENTS :

  • Diploma in Business Administration or any related field.
  • At least 3 years of relevant work experience in administration / procurement.
  • Proficient in both written and verbal communication in Malay and English.
  • Demonstrates a good attitude with a high level of confidentiality.
  • Capable of managing multiple tasks and meeting deadlines in high-pressure environments while maintaining a high level of professionalism, independence, and composure.
  • Demonstrates the ability to engage effectively and patiently with various stakeholders, including internal users, vendors, colleagues, and management, ensuring smooth communication and collaboration.
  • Possesses strong negotiation abilities to secure favorable terms and resolve issues efficiently.
  • Able to work independently with minimal supervision while ensuring tasks are completed accurately and in a timely manner.
