Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to support our Institutional Division. This role is critical in helping our sales team meet targets and deadlines by managing administrative processes and ensuring smooth coordination across departments.

Key Responsibilities
  • Manage and prioritize daily administrative tasks for a large, complex division
  • Support the sales team with reporting, documentation, and correspondence
  • Coordinate with Finance and Supply Chain for aligned processes and timely issue resolution
  • Prepare customer proposals, quotations, agreements, and update product profiles
  • Organize and maintain filing systems for purchases, safety equipment, and customer documentation
  • Complete chemical inventory reports for selected corporate clients
  • Track permit expiry dates (e.g., dangerous chemical permits) and assist with renewals
  • Consolidate reports for business reviews (e.g., rental machine service reports, after-sales data)
  • Manage travel bookings, calendar scheduling, and meetings across multiple time zones
  • Prepare correspondence, presentations, and reports as needed
  • Communicate with vendors to maintain stock levels of key materials.
Minimum Qualifications
  • Diploma or Bachelor's degree in any field
  • Advantageous to have Mandarin Speaking skills.
  • 3–4 years of administrative support experience
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
