Job Responsibilities of Administrative Specialist (Malaysia)
Job Responsibilities
- Responsible for daily communication and liaison with local communities and government departments (such as City Hall, Immigration Department, Labour Department, etc.), and maintain good relationships.
- Follow up on the application and renewal of licenses/permits required for the company's business operations (e.g., construction permits, work permits, SSM annual review, etc.) to ensure compliance.
- Handle routine inspections, document submission and feedback from government departments, and avoid legal risks.
- Responsible for company visitor reception, call transfer and email handling to present the professional image of the enterprise.
- Manage the company's administrative archives (both paper and electronic versions), including contracts, licenses, employee files, etc., to ensure completeness and traceability.
- Coordinate the procurement, distribution and inventory management of office supplies to control costs; also be responsible for vehicle management, dormitory management and other related work.
- Lead the application and renewal of work visas (Employment Pass/EP) and dependent visas for foreign employees, and be familiar with the procedures of the Immigration Department of Malaysia.
- Provide localized life guidance for new employees (such as bank account opening, house renting, tax registration, cultural customs, etc.) to help them adapt quickly.
- Be familiar with and conduct advocacy on legal localized living.
Job Requirements (Additional)
- Education Requirement: Bachelor's degree or above.
- Work Experience: At least 2 years of work experience; experience in administrative work at the comprehensive office (department) of construction projects is preferred.
- Work Location: Be willing to comply with the company's deployment; the company's main business areas are Penang, Kuala Lumpur and surrounding cities (the original "Guang Penang" is assumed to be an expression error and corrected to "Penang").
- Competence Requirement: Possess good communication and coordination skills, and be able to handle internal and external affairs efficiently.
- Skill Requirement: Proficient in operating office software, with strong writing skills and document processing capabilities.
- Language Requirement: Proficient in Chinese and English, and fluent in Malay (required to communicate with both Chinese and Malaysian teams).
