Overview
An opportunity to join an entity promoting international education in Malaysia and the region. TAEL Partners, founded and managed by Asian professionals, is expanding beyond its existing fund management business to establish an educational platform. The organization is seeking a supportive but key administrative officer. Based in Menara UOA Bangsar, Kuala Lumpur, the ideal candidate will draw on their academic grounding, relevant work experience and strong personal attributes to meet the demands and challenges of the role.
Responsibilities
- Organise and execute day-to-day office administration for a small office, including maintaining a safe and tidy work environment and managing repairs and maintenance of office equipment.
- Plan, arrange and coordinate senior management schedules, including scheduling meetings (voice or video conferencing), preparing itineraries, business travel, work visas, lodging, and attestation/legalization of documents.
- Provide team support to prepare letters, presentation slides, photocopying, staff claims, and track and collate out-of-pocket expenses for billing and other team support.
- Control the office mailing system, record all incoming and outgoing correspondence, arrange courier shipments, and maintain an organized filing system.
- Manage maintenance of office facilities including IT network, personnel laptops, security systems, servers, voice and data management, and tele-conferencing facilities.
- Act as key liaison with service providers and vendors including IT vendors, contractors for office renovation, and food catering, among others.
- Handle admin matters as a team player, supporting the Malaysia office and regional offices.
- Support IT matters by working with the IT lead on related issues.
- Assist HR matters in coordination with the HR director on certain HR matters covering neighbouring countries.
- Handle other office administration duties and ad-hoc matters as required.
- This is a contractual employment with potential to transition to full-time depending on business growth and mutual agreement; remuneration will reflect the contractual nature.
The Person
- At least 3-5 years of experience in office administration. Good IT knowledge is an added advantage.
- High proficiency in English (written and spoken) with strong interpersonal skills.
- Computer literacy with familiarity in Microsoft Office (Excel, Word).
- Strong multitasking abilities, highly organized, meticulous, and diligent in follow-up.
- Ability to work independently, under pressure and maintain a high level of confidentiality.
