Job summary

A manufacturing company based in Malaysia is seeking an Administrative Assistant to provide support in documentation, correspondence, and purchasing activities. The ideal candidate will have a diploma or degree in Business Administration, along with 1-3 years' experience in administration or purchasing. Candidates should have strong knowledge of procurement processes and be proficient in Microsoft Office. This position requires excellent communication and negotiation skills to ensure compliance with company procedures and to maintain supplier relationships.

Key Responsibilities
  • Provide general administrative support including documentation, filing, and data entry
  • Manage incoming calls, emails, and correspondence
  • Prepare reports, letters, and internal documents as required
  • Maintain accurate records and ensure proper document control
  • Support HR, finance, or operations with administrative tasks when required
  • Source, evaluate, and liaise with suppliers and vendors
  • Prepare and process Purchase Requisitions (PR) and Purchase Orders (PO)
  • Monitor order status and follow up on deliveries to ensure timely receipt
  • Verify delivery orders and invoices against purchase orders
  • Maintain an updated supplier database and purchasing records
  • Assist in negotiating prices, terms, and delivery schedules to ensure cost efficiency
  • Ensure purchasing activities comply with company policies and procedures
Requirements & Qualifications
  • Diploma or Bachelor’s Degree in Business Administration, Supply Chain, or related field
  • Minimum [1–3] years of experience in administration and/or purchasing
  • Good knowledge of procurement processes and documentation
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Strong organizational, communication, and negotiation skills
  • Detail‑oriented, responsible, and able to work independently
  • Ability to multitask and meet deadlines
Preferred Skills (Optional)
  • Experience in a manufacturing or industrial environment
  • Familiarity with ERP or purchasing systems
  • Knowledge of basic accounting or inventory control
