The Admin Executive cum Receptionist is responsible for providing front-desk support and ensuring smooth daily administrative operations. This role includes managing incoming calls, greeting visitors, handling appointments, maintaining records, preparing documents, and assisting in general office coordination. The position requires strong communication skills, a positive attitude, and the ability to multitask in a fast-paced environment.

Responsibilities

• Assist the manager on office daily and operational activities to ensure meeting deadline, smooth running of overall administration functions.
• Handling daily documentation and proper filing system to ensure documents are traceable in an efficient manner.
• Organise a filing system for important and confidential company documents.
• Coordinate and assist in administrative, banking matters.
• Booking and arranging travel, transport & accommodation.
• Reminding the manager of important tasks and deadlines.
• Friendly customer service, greeting, eye contact with good smile practice.
• Check in and check out patients in accordance to the company policy and procedure.
• Coordinating schedules and managing customer appointment.
• Ensure payment are made on the date treatment is done and payments received are reconciled at the end of the Day.
• Record the daily sales accurately.
• Prepare reports requested by panelist, such as Socso, PMCare etc.
• Perform any ad-hoc assignment to be given by superior from time to time.

Qualifications

• Proven work experience as a Receptionist Front Office Representative or similar role.
• Professional attitude and appearance.
• Ability to be resourceful and proactive when issue arise.
• Excellent organizational skills.
• Multitasking and time-management skills, with the ability to prioritize tasks.
