Job description

The Admin Executive supports smooth office operations by handling administrative tasks such as data entry, filing, scheduling meetings and client appointments, managing office supplies, and coordinating company events. This role suits a proactive individual with strong organizational skills and the ability to manage multiple responsibilities efficiently.

What You Will Do
  • Oversee daily office operations, including facilities, maintenance, inventory management, and general office upkeep.
  • Organize and maintain office supplies and equipment.
  • Liaise with suppliers and service providers (e.g., cleaning, security, IT, pantry, courier, and maintenance), including negotiating terms and managing service quality.
  • Perform daily administrative tasks such as data entry, filing, and document management.
  • Coordinate and schedule appointments, meetings, travel arrangements, and provide general administrative assistance to the team.
  • Handle incoming calls and emails, redirecting them as necessary.
  • Assist in organizing staff events and team activities.
  • Prepare relevant documents, including official receipts, invoices, and payment vouchers.
  • Handle ad hoc administrative responsibilities as required, with minimal supervision.
What We Look For
  • Certificate, Diploma, or Bachelor’s Degree in Business Administration or a related field.
  • Strong organizational and time management skills.
  • Detail-oriented with strong problem-solving skills.
  • Proficiency in Microsoft Office applications (Word, Excel, and PowerPoint).
  • Strong written and spoken communication skills in English; ability to communicate in Chinese is an advantage.
  • Ability to work effectively in a fast-paced environment and prioritize tasks efficiently.
