Job summary

A reputable company in Malaysia is seeking an Account Admin cum HR/Payroll Executive to manage day-to-day administrative and accounting tasks such as preparing quotations, issuing invoices, and maintaining company registration portals. The ideal candidate should possess a Diploma or Degree in Business Admin, Accounting or Finance with 2-3 years of relevant experience. Proficiency in QuickBooks is needed, and familiarity with Malaysia Digital and other portals is a plus. The position is fulltime, based in Kuala Lumpur, and requires good communication skills in English and Malay.

Job description

Responsible for handling day-to-day administrative and accounting tasks including preparing quotations, issuing invoices, following up with clients, and maintaining company registration portals (ISO, PIKOM, Malaysia Digital, MOF, MATRADE, etc.). The role requires someone organized, detail-oriented, and proactive in supporting management with company documentation and customer coordination.

Key Responsibilities
  • Prepare and update quotations for clients.
  • Follow up on client approvals and convert confirmed quotations to invoices.
  • Maintain quotation and invoice tracking records (QuickBooks / Excel).
  • Handle company documentation, filing, and correspondence.
  • Update and maintain portals (Malaysia Digital, PIKOM, MOF, MATRADE, ISO).
  • Assist in project paperwork submissions, vendor registrations, and renewals.
  • Liaise with clients for quotation or invoice clarification.
  • Follow up on payment and billing matters.
  • Support Director in project coordination and scheduling.
  • Know use InfoTech manage claims and attendance records.
  • Coordinate with finance on monthly statement and claim reports.
  • Prepare management summary reports when requested.
Requirements
  • Diploma or Degree in Business Admin / Accounting / Finance or related field.
  • Minimum 2-3 years working experience in admin or accounts role.
  • Familiar with QuickBooks accounting software.
  • Experience managing Malaysia Digital, MOF, MATRADE, or ISO portals is an advantage.
  • Good written and communication skills (English, Malay; Chinese is a plus).
  • Detail-oriented, responsible, able to meet deadlines, and willing to learn.
Work Location & Operation Time
  • Based at: Infra Mobile Digital Sdn Bhd (e.g. Kuchai Lama area)
  • Working hours: Monday–Friday, 9:00am – 6:00pm
