The Shell Mobility & Convenience business is looking to invest and grow our retail network footprint sustainably in the next few years with specific focus on profitable and emerging/maturing market areas with strong customer demand.

The Acquisition Program Coordinator will be working very closely with the Network Planning, Real Estate and Engineering team to deliver fresh injection of New-to-Industry (NTI) or New-to-Shell (NTS) retail stations into the Shell Mobility & Convenience Malaysia’s network, governed by the following key principles:

Defend Network via timely and proactive acquisition initiation for sites at risk.

Grow Network via aggressive and tactical New-to-Shell (NTS) approach, focusing on quick-win conversion and OTP supported by leveraging new/unconventional prospecting channels.

Grow Network via conventional New-to-Industry (NTI) approach with balanced Capital-Light DODO models supplemented with strategic, impactful and sustainable CODO investment at primary and strong secondary market areas.

The Acquisition Program Coordinator will provide operational and administrative support to both the Acquisition Program and Network Planning team, ensuring smooth meeting/interfaces coordination between internal stakeholders and timely execution of acquisition-related and/or Planning activities.

This role is expected to collaborate with a wide range of internal and external stakeholders (from Network Planning, Real Estate, Engineering to Mobility to colleagues from Sales & Operations, CR, Marketing, E-Mobility, Business Mobility/Fleet Solutions/CRT B2B), seeking input and alignment to a shared vision which is essential to the successful delivery of the Acquisition Program.

This job reports to the Mobility Network Planning Manager (NPM) and will be based in Menara Shell, Kuala Lumpur.

Accountabilities and Key Deliverables:
  1. Coordinate regular Acquisition Program meeting cadences between relevant parties (Network Planning, Real Estate and L2 Partners).

    1. Develop and maintain a structured meeting calendar with clear objectives for each session.
    2. Prepare and distribute agendas, pre-read materials, and meeting minutes promptly.
    3. Ensure alignment of discussion points with program milestones and strategic objectives.
    4. Track attendance and engagement to ensure all stakeholders are actively involved.
  2. Provide secretarial and administrative support to the Acquisition Program team in terms of project progress tracking/reporting, document management etc.

    1. Maintain centralized document repositories with proper version control and access rights.
    2. Generate weekly/monthly dashboards summarizing acquisition progress and key metrics. Highlight bottlenecks and recommend process optimisation strategies.
    3. Support preparation of presentations and reports for monthly/quarterly performance reviews.
    4. Ensure compliance with internal GRM and Network Imperatives requirements.
  3. Follow up on agreed action items derived from Acquisition Program meeting to drive consistent and ratable progress in acquisition activities.

    1. Track and update action item status in project trackers and elevate overdue tasks.
    2. Communicate reminders and progress updates to responsible stakeholders.
    3. Identify recurring delays and propose corrective measures to improve execution speed.
    4. Provide visibility to leadership on critical blockers and resolution plans.
    5. Assist in cross‑functional projects that contribute to overall Network T&R delivery.
    6. Provide administrative and coordination support for Network Real Estate or Engineering initiatives.
    7. Contribute to ad‑hoc tasks or special projects as assigned by Network LTs.
Education

Bachelor’s degree in business administration, Real Estate, Project Management, or relevant field.

Experience
  1. Proven track record of delivery with 1–3 years of experience in Project Coordination, Administrative support, or Program management.
  2. Exposure to Retail Network Development, Real Estate, or Engineering projects is an advantage.
Technical Skills
  • Highly proficient in MS Office Suite (Excel, PowerPoint, Word) and project tracking tools.
  • Familiarity with reporting and data analysis techniques.
