We are seeking an Executive Operations Specialist to streamline workflows for the team. The VA will support the founder and team members with a mix of personal and business tasks while representing the company with the highest level of professionalism in interactions with clients and vendors. This role is critical to maintaining operational efficiency and supporting the creative and administrative needs of a fast-paced production company.

• Support sales initiatives by generating and qualifying leads via outbound prospecting, cold calls, emails, and social media.
• Articulate the company's value to prospective clients across channels.
• Assist in implementing outbound and marketing strategies; track email outreach and meet monthly/quarterly goals.
• Manage the sales process for multi-platform branded content campaigns, from awareness to award.
• Respond to clients and vendors with courtesy, accuracy, and timeliness.
• Schedule meetings, send calendar invites, take minutes, make reservations, and book travel.
• Support production logistics: pull COIs, check vendor availability, order craft services, create parking maps, shipping labels, and courier services.
• Maintain crew and vendor contact lists; set up new vendor accounts and subscriptions.
• Route requests while team members are out of the office.
• Document and update company SOPs and handbook.
• Assist producers with accounting tasks, including budget actualization, coding expenses, submitting invoices, and tracking costs.
• Research creative decks, modify design templates, and update company website and asset archive.
• Arrange client gifting including holiday gifts and thank-you notes.
• Post approved content to LinkedIn and Instagram per company strategy and hashtags.

• Exceptional written and verbal communication skills; attention to detail is essential.
• Highly organized, efficient, and proficient in calendar and workflow management.
• Independently motivated and able to problem solve.
• Honest, accountable, and willing to learn from mistakes.
• Knowledge of social media platforms, posting tools, and cloud-based software (Google Drive, ClickUp, QuickBooks, Wrapbook a plus).
• Interest in film, arts, and advertising a plus.
• Adaptable, resilient, and creative; able to identify solutions and think critically.
• Self-starter with curiosity and willingness to learn independently.
• Strong work ethic, professional integrity, and ability to represent the team with courtesy and respect.
