IN THIS ROLE YOU WILL:
  • Ensure a service-oriented approach by addressing employee needs and creating an exceptional workplace experience that promotes well-being, productivity, and performance.
  • Oversee daily office operations, ensuring a seamless and positive experience for all employees and addressing any concerns promptly.
  • Manage vendor relationships, negotiate contracts, and handle office procurement, ensuring timely and high-quality services, supplies, and equipment.
  • Plan and execute office events, celebrations, and engagement activities that foster a strong company culture and enhance employee engagement.
  • Serve as the go-to person for all facility-related matters, collaborating with landlords, security, and service providers to ensure smooth operations.
  • Ensure the office is well-stocked, organized, and inspiring, supporting employee well-being and productivity.
  • Collaborate with IT and People & Culture teams to improve the workplace experience, supporting processes like onboarding and offboarding.
  • Oversee workplace safety, security, and emergency preparedness to maintain a compliant and secure environment.

Our Tech stack: Slack, Notion, Miro, Jira, GSuite, Asana

On-Site Presence: This role is based in our Berlin office and requires your presence Monday to Friday, approximately 9 AM to 6 PM, to ensure smooth daily operations and a great workplace experience.

WHAT YOU BRING TO THE TABLE:
  • 2–3 years of experience in office management, workplace operations, or a similar role in a fast-paced, high-growth company.
  • Excellent interpersonal and communication skills, fostering a welcoming and professional workplace while effectively managing relationships with internal and external stakeholders.
  • Event management experience, including planning and executing events with 100+ attendees.
  • Strong organizational and project management skills, with the ability to juggle multiple priorities and solve problems proactively.
  • A hands-on, proactive mindset with a passion for creating an outstanding workplace experience.
  • Experience with vendor negotiation and contract management.
  • Tech-savvy, with experience using Slack, Notion, Miro, Jira, G Suite, and Asana to streamline workplace operations.
  • Knowledge of Berlin workplace compliance, safety, and security regulations.
  • C1-level fluency in German and C1-level fluency in English (additional languages are a plus).
