An educational institution in Ontario is seeking a Facilities Maintenance Coordinator responsible for overseeing daily maintenance operations and managing a team. The ideal candidate will have a post-secondary degree in a relevant field and extensive experience in facilities maintenance, with strong leadership and communication skills. The York Region District School Board (YRDSB) supports a flexible working culture and currently provides the opportunity for employees to work from home in addition to working in the office for some positions. The YRDSB implemented Working From Home Guidelines to facilitate this work option. Please note, this does not apply for school based positions.

In compliance with Board policies and procedures, relevant regulations and codes, this position is responsible for supporting the effective and efficient operation of the Board's centralized maintenance facility. This role coordinates and oversees maintenance of Board schools and administrative buildings, supervises staff, supports projects, ensuring the provision of safe, well-maintained, and functional learning and working environments.

Major Responsibilities
  • To assist the Manager, Maintenance and Trades, in planning, scheduling, and overseeing daily maintenance operations, including reactive, preventive, and predictive maintenance.
  • To lead and manage larger multi-discipline repairs in collaboration with other functional areas.
  • To coordinate regulatory requirements with permits, installation, recording and re-inspection of regulatory devices.
  • To help track material usage and optimize stock levels to minimize downtime and control costs.
  • To support the Manager, Maintenance and Trades in the planning and execution of modest capital projects and specialized maintenance initiatives.
  • To oversee the warehouse, couriers, and truck drivers to optimize routing, storage and effective usage of the central warehouse and transfer location.
  • To coordinate work orders, assign tasks to maintenance staff, and monitor progress to ensure timely completion.
  • To assist in the allocation of resources (staff, materials, equipment, vehicles) for various maintenance projects and daily tasks.
  • To support the implementation and monitoring of maintenance schedules and service level agreements.
  • To assist in budget tracking and expense monitoring as directed by the Manager, Maintenance and Trades.
  • To assist with coordinating external contractors and ensuring work meets Board standards and specifications.
  • To supervise, support employee performance appraisals, and participate in the hiring and administration of the collective agreement. This includes supporting co-op and apprentice programs.
  • To participate in the planning and formulation of initiatives for service improvements.
  • To assist the Managers within Facility Services to develop annual business/work plans and service plans, staffing proposals, and procedures.
  • To assist the with development of service contracts.
  • To attend and participate in various meetings and committees as required.
  • To perform other duties as assigned.
Education, Experience And Qualifications
  • Three years post-secondary degree or diploma in Facilities Management, Trades Management, a recognized skilled trade, or a related field, or equivalent, as approved by the Board, is required.
  • Trades certification(s) (e.g., Journeyperson in a recognized trade) is highly preferred.
  • Minimum five to seven years of progressive experience in facilities maintenance, with at least three- years in a leadership or managerial role, preferably in an institutional or public sector environment (e.g., school board, university, municipal government) is required.
  • Solid knowledge of building systems (HVAC, electrical, plumbing, structural, grounds maintenance) and relevant building codes.
  • Strong understanding of health and safety regulations and practices applicable to maintenance operations.
  • Proficiency in using CMMS software (Computerized Maintenance Management System) and standard office productivity tools (e.g., Microsoft Office Suite).
  • Excellent organizational, problem-solving, and time management skills.
  • Strong verbal and written communication skills, with the ability to clearly convey information.
  • Ability to work independently and as part of a team, adapting to changing priorities.
  • Requires a valid Ontario Driver’s License and have access to transportation.
LEADERSHIP
  • Responsible for leading the maintenance and trades team, to foster a positive, productive, and safety-focused work environment.
  • Acts as a point of contact for staff inquiries and disciplinary issues, escalating to the Manager, Maintenance and Trades as appropriate.
  • Supports the Manager, Maintenance and Trades in overseeing daily maintenance operations across all Board sites.
  • Communicates confidential matters with individuals and groups within and outside of the Board as it relates to facility maintenance practices and related legislation.
  • Builds and maintains collaborative relationships with multiple departments, internal and external partners for the coordinate maintenance activities.
ACCOUNTABILITY AND DECISION MAKING
  • Responsible for maintaining knowledge of and adherence to Board policies and procedures and applicable legislation, regulations, building codes, and Health and Safety standards (e.g., Ontario Building Code, Occupational Health and Safety Act, Ministry of Education guidelines).
  • Ensures that operating staff work in a safe manner and utilize all required health and safety equipment and protective devices and follow all measures and procedures as required by the Occupational Health and Safety Act and Regulations and Regional Policies.
  • Investigates and resolves irregularities/discrepancies in delivery, service performance, and billings with contractors and suppliers.
  • Monitors and follows up on client issues, outstanding work orders, etc.
  • Conduct audits to ensure compliance with established quality, processes, and safety standards.
WORKING CONDITIONS
  • Typical corporate office environment.
  • Requires use of technology and computer equipment for prolonged periods.
  • Regular travel to various YRDSB school sites and Board facilities.
  • May be required to respond to after-hours emergencies or support urgent repairs.
  • Use of personal protective equipment on construction sites may be required i.e., hard hat, high visibility vest, and safety footwear.

Important Information For CUPE 1734 Members

LA.11.7 Those twelve (12) month employees filling vacancies as a result of their applying to a job posting are to remain twelve (12) months at their position. Ten (10) month employees are to remain in their position until the end of the school year. This requirement can be waived with permission from the Superintendent responsible for Human Resource Services. This does not prevent employees from applying for a position or from applying for a promotion during the twelve (12) month period.

CUPE 1734 applicants will be considered to have the required educational qualifications based on the job description for the CUPE 1734 classification they currently hold on a permanent basis, in accordance with the terms of the CUPE 1734 Collective Agreement.

LA.7.4 Those transferred to positions not covered by this Agreement, will retain their seniority accumulated in the bargaining unit for a period of twelve (12) months, or up to twenty-four (24) months by mutual agreement of the parties, and if transferred back into the bargaining unit within the agreed upon period, they shall be credited with all previously accumulated seniority within CUPE 1734, provided that no bargaining unit employee who has completed his/her probationary period shall be displaced as a result of such transfer. Parties may jointly agree to extend past the 24 months upon mutual agreement between the Board, the Union and the Employee.

As a , and in accordance with the Education Act, anyone seeking employment or wanting to volunteer must provide a satisfactory police record check. A Police Vulnerable Sector Check (PVSC) must be completed by the police services in the jurisdiction in which you reside, this is based on your home address (only accepted by police services within Canada); must be satisfactory to the YRDSB and completed within six (6) months prior to the scheduled start date. We will accept satisfactory PVSC’s that name any other school board and other employers (daycare centers, OCT, and employers that would require a police check for vulnerable persons) in Ontario and obtained within the last six (6) months.
