SUMMER RENTALS AND BOOKINGS STUDENT

Position Type: Temporary Full Time (anticipated duration is May 12 – Aug 29, 2026)

Number of Positions: One (1)

Department: Community Services Department

Location: Quinte Sports and Wellness Centre (265 Cannifton Road, Belleville, ON)

Hours: 35 hours per week, Monday – Friday, 8:30am to 4:30pm (some evening and weekend work may be required)

Employee Group: Non-Union

Salary: $18.75 - $20.54 per hour

Closing Date: Friday, January 2, 2026 at 4:30 PM

Purpose and Scope: Reporting to the Rental and Bookings Supervisor, this position is responsible for assisting with rentals, special event bookings and clerical support.

Key Responsibilities:
  • Provide positive and professional customer services for internal and external customers.
  • Assist with the intake of facility request form for rentals/events and track metrics.
  • Assist in responding to inquiries from all external and internal clients such as user groups and individuals to book sports, leisure and recreation activities within the City of Belleville.
  • Assist in creating seasonal and daily contract/permits using established formats for all ice, meeting rooms, parks, community centres, sports facilities, and events.
  • Assist in the special event process, including contacting event organizers for additional information, obtaining paperwork, and setting up special event meetings and site visits.
  • Assist in collecting insurance and proper documentation for facility rentals, including special events.
  • Assist in data collection, research and data analysis, including updating municipal comparator data.
  • Provide clerical support to the rentals office and other sections within the department if required.
  • Assist in the preparation of brochures and marketing materials for facility rentals and special events.
  • Assist with client follow-ups in coordination with Accounts Receivable.
  • Assist with note taking during meetings/site visits (indoor and outdoor), with community user groups/customers/businesses/promoters/City staff.

Education, Training, Specialized Skills:
Minimum Qualifications:
  • High School Graduation Diploma
  • Enrolled in a two-year College Diploma in Recreation, Sport Management/Tourism, Business or Public Relations field or equivalent.
  • Satisfactory Criminal Record Check (“CRC”) and Vulnerable Sector Screening prior to commencing work at the City of Belleville.
  • Valid Driver’s License class “G”, satisfactory driver’s abstract to be held and maintained.
  • Proficient use of computers with advanced skills in word processing and spreadsheet software (Excel, Internet, Word, Integrated Financial Programs, Recreation Programs, Website, etc.)
Preferred Qualifications:
  • Valid Standard First Aid and C.P.R. 'C' Certification or willingness to obtain.

  • Ability to communicate effectively both orally and in writing.
  • Ability to work in a fast-paced environment and balance a workload with regular changing priorities.
  • Excellent public relations, coordination, and customer service skills.
  • Be aware of City programs and have strong public relation skills.
Preferred Qualifications:
  • Experience with related recreation software (Xplor Recreation) or booking programs.
  • Project and/or event management experience.
  • Experience working in a municipal recreation setting.
  • Experience with marketing and use of CANVA, Adobe InDesign or related software.
