Overview
Administrator (Senior) required in Sandton, Johannesburg. An exciting, and vibrant company that sells disposable Vape Devices, and specialises in FMCG on Tobacco alternative products is expanding rapidly and is looking for an Administrator to join their team. They are a Vaping Company that bases themselves on three main values, simplicity, value and most importantly that there is a better alternative to smoking traditional cigarettes.
Salary: R20 000 – R23 000 CTC per month. 3 month Probation to Permanent.
Qualifications
- Grade 12 / Matric
- Own reliable vehicle and valid drivers license (Not Negotiable)
- Extensive experience using Sage
- Extensive experience delivering high quality business administration service in demanding and pressurised environment
- 5 years of proven experience in a similar role, supporting high level Business Executives
- A desire to work in a fast-paced environment
- Strong written and verbal communication skills
- FMCG sales background
- Fully conversant to an advanced level in the complete Microsoft Suite, including Word, Excel, PowerPoint, and Office
Duties and Responsibilities
- Manage documents while also ensuring their accuracy, quality, and integrity
- Assist in compliance, adhere to record retention policies, safeguard information, and retrieve data effectively
- Archive inactive records and documents
- Capture orders into Sage from Geo Rep software
- Send orders to the warehousing packers and the courier company
- Liaise with the sales, logistic and warehousing teams for feedback and reviews
- Send updates to the team on transmittal status
- Provide support where required document control
- Uploading all necessary documents to the electronic filing system
- Assist in collecting documentation from relevant personnel
- Assist with any other reasonable tasks and duties as requested
- Manage, register, update and distribute sales plan instructions
- Evaluate areas for improvement within the sales region
- Any other job-related duties as required from time to time
- Provide high level of professional support to the project executives
- Extensive and complex diary management across multiple lime zones
- Extensive inbox and email management Organize and coordinate Sage sales orders, debtor management, stock control, logistics management are established
- Prepare and distribute sales agendas and documents in good time
- Take minutes, note actions, and demonstrate responsibility in seeing that actions are completed to an agreed timeframe. Participate and contribute to the meeting where appropriate
- Ensure the sales executives have all relevant information required for their week (call cycle, warehouse staff sales orders, meeting content, directions, documents etc.) Manage tasks and queries on behalf of the executives(s) in a timely manner with the ability to establish priorities based on understanding of the sales planner
- Assist the sales team with the completion of fuel expense, commission submissions, call logs, gap analysis, analyse call cycles and, timesheets.
- Liaise with relevant internal stakeholder and teams to deliver
- Marketing material, proposal documents, reports and presentations ensuring quality and consistency of output that meet the Company’s and the Client’s standards and guidelines.
- Attend sales meeting, promotional events, and take down action items. Printing of all packs and ensuring action items are followed up timeously.
- Responsible for preparation and distribution of internal and external communications
- Proactively contribute to ensuring a safe and healthy working environment
- There may be a requirement to travel to other offices/venues as necessary, for meetings and staff conferences, sales events, and roadshows
