Job Description

Operational role responsible for supporting billing team in day-to-day operations. The incumbent may seek appropriate level of guidance and advice to ensure delivery of quality outcomes.

Key Responsibilities:

Invoicing and Billing:

Ø Generate and send accurate invoices to customers or clients.

Ø Ensure that billing is done according to the company’s policies, client agreements, and payment terms.

Ø Review client accounts and billing histories to ensure accuracy and completeness.

Ø Correct billing errors and discrepancies promptly.

Data Entry and Record Keeping:

Ø Input billing data into the company’s accounting or billing system.

Ø Maintain detailed records of transactions, invoices, and payment histories.

Ø Ensure that client and payment information is up to date in the system.

Payment Processing:

Ø Track and monitor client payments, ensuring timely collection.

Ø Follow up on overdue payments by contacting clients via phone, email, or letter.

Ø Apply payments to the correct accounts and resolve any payment issues.

Customer Service:

Ø Address and resolve client billing inquiries and disputes.

Ø Provide support to clients regarding billing and payment concerns.

Ø Assist clients with setting up payment plans or resolving issues related to their invoices.

Reporting:

Ø Prepare and generate regular reports on billing and payment statuses for management.

Ø Assist in reconciling accounts receivable balances.

Ø Maintain accurate records to assist in the preparation of financial reports.

Compliance and Auditing:

Ø Ensure that billing practices comply with financial regulations, company policies, and industry standards.

Ø Assist in audits by providing necessary documentation and supporting information.
