Warehouse Senior Executive / Assistant Manager

We are seeking a responsible and highly organized Warehouse Senior Executive / Assistant Manager to oversee daily warehouse operations, ensuring efficiency and accuracy across all functions. This role involves managing inventory, order fulfillment, packing, delivery coordination, and etc. The ideal candidate will have strong attention to detail, excellent communication skills and able to work closely with cross‑functional teams to meet operational goals and ensure customer satisfaction.

What will your role be?
  • Warehouse Operations & Storekeeping
    • Oversee daily warehouse activities to ensure smooth, efficient operations.
    • Manage inventory storage, organisation, and housekeeping to maintain a clean and systematic warehouse environment.
    • Monitor stock levels, conduct regular cycle counts, and ensure accurate stock records in the system.
    • Oversee inbound and outbound goods, including receiving, verifying, and updating stock movements.
    • Ensure proper storage conditions for different product categories (e.g., skincare, hair care, health supplements).
  • Online & Offline Order Management
    • Manage the complete order fulfillment process for both online orders (e‑commerce platforms, marketplace, website) and offline orders (retail partners, distributors, corporate clients).
    • Coordinate with sales, marketing, e‑commerce, and retail teams to prioritise orders, promotions, and bulk requests.
    • Ensure all orders are processed accurately, packed according to SOPs, and dispatched within required timelines.
    • Monitor order statuses, resolve discrepancies, and ensure customer satisfaction for both online and offline channels.
  • Packing & Quality Control
    • Supervise and perform product picking, packing, and labeling to meet accuracy and quality standards.
    • Ensure correct items, quantities, and packaging materials are used for each order.
    • Implement and maintain packing SOPs to minimise errors, damages, and returns.
    • Inspect outgoing goods to ensure compliance with company and customer requirements.
  • Delivery Coordination
    • Plan and schedule deliveries with internal drivers or external courier partners.
    • Track shipments to ensure timely delivery and manage delays or exceptions.
    • Liaise with logistics partners for pick-ups, bulk shipments, and special delivery arrangements.
    • Handle delivery‑related documentation such as delivery orders, consignment notes, and courier handover forms.
  • Event / Roadshow Support
    • Prepare stock, packing materials, equipment, and display items for events, roadshows, and pop‑up activations if any.
    • Coordinate with the teams on stock requirements, replenishment and logistics arrangements.
    • Ensure timely delivery and pick‑up of event stock and materials.
    • Support event stock monitoring, returns, and post‑event reconciliation.
  • Inventory & System Management
    • Update inventory systems with all incoming, outgoing, and adjustment entries.
    • Supervise storekeepers, packers, or warehouse assistants in daily operations.
    • Provide training on SOPs, packing standards, safety procedures, and equipment handling.
    • Allocate tasks, monitor performance, and ensure productivity targets are met.
    • Maintain strong communication between warehouse, sales, operations, and management teams.
  • Process Improvement & Compliance
    • Continuously review and improve warehouse workflows for efficiency and accuracy.
    • Ensure warehouse practices comply with safety, hygiene, and operational standards.
    • Support audits and implement corrective measures when required.
    • Manage maintenance of warehouse equipment and tools (e.g., scanners, trolleys, racks).
  • Others
    • Handle urgent, special, or bulk order requests as needed.
    • Assist management with annual stock take planning and execution.
    • Support any ad‑hoc tasks or projects assigned by the management.
What do you need to have to be successful in this role?
  • Diploma or Degree in Supply Chain Management, Business Administration, or related fields.
  • Minimum 1–3 years of relevant experience.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and other relevant tools.
  • Good communication in English, Mandarin and Bahasa Malaysia.
  • Detail‑oriented, responsible, and able to work in a fast‑paced environment.
