Job description

A Snapshot of Your Day

As a Team Assistant, you will be at the heart of our dynamic team, and have a strong administrative background and excellent organizational skills. You will engage in meaningful projects such as organizing strategic workshops and managing executive calendars, directly impacting the efficiency and success of our team and partners. Your work will support Siemens Energy’s mission by ensuring seamless operations and fostering a collaborative team culture that values innovation and precision.

How You’ll Make An Impact

• Coordinate and manage calendars, meetings, workshops, customer calls, and bid reviews for Sales and bidding teams.
• Support preparation, formatting, and consolidation of bidding documents such as T&Cs summaries, bid packs, approval slides, contract markups, and internal LoA inputs.
• Make travel arrangements and manage team members’ expense claims when necessary.
• Assist in gathering inputs from cross functional stakeholders (Legal, Tax, Finance, ECC, Insurance, Export Control) and ensuring materials are complete and up to date.
• Organize document repositories, SharePoint folders, Teams channels, distribution lists, and commercial archives, ensuring version control and easy retrieval.
• Support in on- & off-boarding processes of team members.
• Coordinate and organize events, trainings, team or company meetings.
• Support logistics for customer meetings, external negotiations, and internal reviews by preparing briefs, agendas, and follow up action logs.
• Foster smooth communication across functions and ensure timely circulation of updates, actions, and key commercial deadlines.

What You Bring

• At least 3 years of experience in secretarial and team assistance roles at management level, with effective coordination skills.
• Confidence in interacting with management across all hierarchical levels, showcasing strong interpersonal abilities.
• Proficiency in MS Office applications (Outlook, Word, PowerPoint)
• Strong team player with a high sense of responsibility, employing results-oriented and organized working methods.
• Fluency in written and spoken English, with flexibility and intercultural experience
