A leading technology company in Malaysia is seeking a Spares Depot Field & Warehouse Supervisor to manage daily operations across customer spare depots. Spares Depot Field & Warehouse Supervisor
  • Own daily bin/cage control across customer spare depots: put‑away, labeling, segregation (good/hold/DOA), and SIMs updates at time of movement.
  • Maintain on‑hand accuracy ≥99.5%; reconcile issues/returns to ticket/serial/qty; enforce parts‑in = parts‑out at the tool level.
  • Execute cycle counts (weekly) and site month‑end confirmations (ARMA/consignment) with signed evidence packs (count sheets, if required).
  • Enforce ECN effectivity at depots: apply interchangeability rules, holdbacks, and rework/scrap segregation so no stranded stock remains at effectivity.
  • Kit and issue parts to FSEs against requests with proper references (ticket/tool, part/serial/qty).
  • Capture consumption at install (same day) in SIMs/SAP; return and tag DOA/faulty items with RMA/defect code where required.
  • Close the loop on used/returned inventory: dispatch to factory or repair vendor per the RMA plan.
  • Prepare and verify pick/pack/ship documents (commercial invoice, packing list, labels); ensure compliant packaging to prevent transit damage.
  • Coordinate with Logistics on carrier/mode (courier/NFO), export control, customs documentation, and committed ETA & tracking.
  • Receive inbound from factory and post to SIMs/SAP same day; quarantine discrepancies and resolve within 24 hours.
  • Maintain a continuously updated audit pack (movement records, shipment proofs, month‑end confirmations, ARMA support if applicable).
  • Segregate and log DOA/defective with reason codes; trigger QA/repair workflows and ensure traceability from ticket to shipment/receipt.
  • Support Internal Controls and external auditors on confirmations and sampling without ad‑hoc scrambles.
  • Update SIMs/SAP in real time; monitor min/max, backorders, and at‑risk parts; raise proactive replenishment signals to Spares Planning.
  • Produce weekly depot metrics: on‑hand accuracy, stockouts, overdue movements, discrepancy aging, shipments with ETA, and consumption completeness.
  • Highlight ECN risks and upcoming effectivity changes; recommend actions (holdback qty, substitution plan).
  • Partner daily with FSE leads for consumption signals and urgent needs; with Logistics for paperwork/clearance; with Quality for DOA.
  • Interface with Spares Planning on site min/max and substitutions; with Finance/IC on month‑end confirmations and roll‑forward support.
  • Drive rapid containment on shortages: propose temporary substitutions, pulls from other depots, or expedite options through Logistics.
  • None initially (individual contributor with site leadership responsibility).
  • Logistics (paperwork & clearance), FSE Leads (requests & consumption capture), Spares Planning (replenishment), Quality (DOA handling), Finance/IC (confirmations), and Operations/Repair for RMA flow alignment.
Qualifications & Skills
  • Education Diploma/Degree in Supply Chain, Logistics, Engineering, or related field (or equivalent practical experience).
  • Experience 3+ years in warehouse/inventory control or field depot roles within high‑mix, time‑critical environments (semiconductor, industrial, or electronics preferred).
  • Demonstrated success with bin‑level accuracy, cycle counts, and compliant shipping/receiving; prior audit support experience is a plus.
  • Systems & Tools Proficiency in SAP (inventory movements) and WMS; strong Excel/reporting skills.
  • Familiar with commercial invoice/packing list, ECCN/export basics, and courier/NFO workflows (coordination via central Logistics).
  • Behavioral Ownership mindset and urgency; excellent coordination and communication with FSEs/Logistics/Planning.
  • High attention to detail; ability to hold the line on process discipline while supporting fast responses to field needs.
  • Comfortable working inside controlled cages and moving between customer site depots.
  • Working Conditions On‑site at customer factory and internal warehouse. Some intra‑site travel between depots; occasional after‑hours support for urgent inbound/outbound.
  • Ability to lift and safely handle packaged parts and to work within ESD‑controlled areas as required.
