Role Description

A service administrator is responsible for overseeing all aspects of the work order for a service department. Your duties include coordinating with the EMEA Service Teams and Managers on the completion of customer work orders and ensuring the efficient billing for work completed.

Region supporting: EMEA

Working hours: 12.30 PM to 8.30 PM (Hybrid arrangements)

Key Accountabilities
  • ASW
    Support service teams with the management & progression of regional ASW’s to ensure the prompt re-charging of costs incurred by Airswift
  • Credit card reconciliation
    Supporting service team with the efficient and accurate reconciliation of all credit cards linked to external travel providers.
  • Airswift Contract Medical Insurance
    Monthly audits of starters / leavers vs people registered for medical insurance
    Sense checking on monthly invoices from suppliers
    Ensuring BH Insurance tabs are accurate
    Support service team with Insurance Enrolment/Termination
  • Right to Work / Visa Management
    Monthly audits of starters & current contractors vs their right to work.
    Ensuring BH visa tab is correct and up to date for all contractors.
  • Client / Country Audits
    Supporting service team / internal QC & Audit teams with the collation and verification of documents & data required for client or country specific audits
  • Ad Hoc Requests
    Support EMEA service teams on an ad hoc basis with a variety of service tasks.
Skills, Knowledge, and Experience
  • Excellent customer service, communication, and relationship building skills.
  • Excellent Microsoft skills, in particular Word & Excel experience.
  • Very organized, adept in time management and can demonstrate structure in thinking.
  • Ability to understand and deliver to business processes and needs
  • At least 2 - 3 years of administrator experience.
