Job Summary
Senior Sales Coordinator / Senior Customer Service is responsible for supporting the Sales team, managing key customer accounts, ensuring accurate order processing, and delivering excellent customer service. This role also oversees daily coordination activities, problem resolution, documentation accuracy, and workflow improvement to support the Company’s sales operations.
Key Responsibilities
Sales Coordination
- Prepare sales quotations, proposals, and product pricing for customers.
- Coordinate with internal departments (warehouse, logistics, production) to ensure timely order fulfillment.
- Follow up on pending orders, delivery schedules, and stock availability.
- Assist Sales Executives in managing accounts and handling customer inquiries.
- Update and maintain customer information and sales records in the system.
Customer Service
- Handle customer inquiries, complaints, and service requests professionally.
- Provide prompt updates on delivery status, product issues, and after-sales support.
- Resolve customer issues by coordinating with internal teams and ensuring corrective actions.
- Build and maintain strong customer relationships to enhance customer satisfaction and retention.
Reporting & Documentation
- Prepare daily, weekly, and monthly sales reports.
- Monitor sales performance and highlight issues or unusual trends.
- Ensure accuracy of records including Purchase Orders (PO), Delivery Orders (DO), invoices, and credit notes.
- Assist in preparing KPI reports and sales presentations.
Team Leadership & Support
- Mentor and guide junior Sales Coordinators or Customer Service Representatives.
- Provide training on customer handling, system usage, and workflow processes.
- Support the Sales Manager in implementing new processes or improvement initiatives.
Requirements
Education & Experience
- Diploma/Degree in Business Administration, Marketing, or related field.
- Minimum 3–5 years experience in sales coordination or customer service.
- Experience in manufacturing, trading, logistics, or related industry is an added advantage.
Skills & Competencies
- Strong communication and customer handling skills.
- Excellent coordination and follow-up abilities.
- Good analytical and reporting skills.
- Proficient in MS Office (Excel, Word, PowerPoint).
- Able to work independently under minimum supervision.
- High accuracy, attention to detail, and strong sense of responsibility.
- Ability to multitask and meet deadlines in a fast‑paced environment.
