Job description

Responsible for overseeing and managing all aspects of tenancy agreements, ensuring compliance, and maintaining accurate records. This role involves close coordination with the legal department and external solicitors, conducting in-depth analyses of tenancy data, as well as serving as the custodian of management systems.

Duties

Oversee the full lifecycle of tenancy management across all commercial assets, covering pre-tenancy documentation, active tenancy administration and post-tenancy closure.

Review and ensure accuracy, consistency and compliance of all Tenancy Agreements, Addenda and related documents with the company policies, statutory requirements and approved commercial terms.

Coordinate with internal departments and PHB Group's support functions (Leasing, Legal, Credit Control, Finance and Facilities Management) to ensure smooth execution and administration of tenancies.

Liaise with external solicitors on tenancy-related legal matters.

Maintain and continuously improve tenancy management systems (e.g., IFCA, POS and related platforms), ensuring data accuracy, process standardization and system efficiency.

Manage tenancy records, ensuring proper documentation, traceability and confidentiality in accordance with governance and audit standards.

Track and monitor all tenancy expiries, renewals and critical dates.

Prepare management papers, reports and presentations for tenancy-related matters, including analysis of tenancy performance, occupancy trends and revenue impact.

Conduct regular data analytics and reporting on tenancy portfolio performance, identifying trends, opportunities and risks.

Support the implementation of strategic initiatives such as standardization of templates, digital transformation of tenancy management processes, and harmonisation of tenancy governance across assets.

Responsibilities

Develop, review and enforce standards operating procedures (SOPs) for tenancy administration, ensuring consistent practices across all managed properties.

Provide subject-matter expertise and interpretational guidance on the commercial aspects of Tenancy Agreements clauses, lease covenants, and operational implications.

Address tenants' queries comments, and proposed amendments to tenancy terms, balance commercial pragmatism with risk management.

Establish, review and maintain a master library of approved tenancy templates, letters and standard clauses for internal use.

Oversee periodic audits and tenancy compliance checks to ensure alignment with approved policies, Authority Manuals and regulatory requirements.

Collaborate with the Leasing team to ensure that negotiated tenancy terms are accurately reflected in executed agreements and recorded in the system.

Support Credit Control in monitoring rent collections by providing timely tenancy data and documentation support.

Review and validate tenancy inputs for reporting purposes including occupancy rates, revenue analysis and performance dashboards for management review.

Lead adoption of digital tools and analytics to enhance tenancy visibility, streamline workflows and improve landlord‑tenant engagement.

Represent the Tenancy Management function in management meetings, Board discussions, and external engagements where tenancy administration issues are discussed.

Leadership

Provide strategic direction and oversight to the Tenancy Management team, ensuring alignment with the company's broader asset management and income growth objectives.

Cultivate a culture of accountability, precision and continuous improvement within the team, promoting data‑driven decision‑making.

Coach and develop team members to strengthen technical and analytical capabilities, ensuring readiness for future succession and organisational growth.

Drive cross‑functional collaboration with Leasing, Credit Control, Finance and Legal departments to ensure end‑to‑end tenancy lifecycle efficiency and governance.

Champion initiatives for process improvement, automation and knowledge sharing to elevate tenancy management standards groupwide.

Ensure the departments' goals, KPIs and deliverables are achieved in line with the annual business plan and strategic direction of the company.

Provide analytical insights and recommendations to Management and the Board on tenancy‑related strategies, risk exposures and performance trends.

Requirements

Degree in Real Estate Management/ Property Management/ Law/ Business Administration or related field.

Minimum 10‑12 years of experience in property or tenancy management with at least 5 years in a managerial or leadership capacity overseeing multi‑asset commercial portfolios (office, retail, industrial or mixed‑use).

Technical Expertise: Proven ability to interpret, draft and negotiate Tenancy Agreements and Addenda with strong command of commercial leasing principles, legal terms and landlord‑tenant obligations.

Regulatory & Compliance Knowledge: Familiarity with the National Land Code, Contracts Act, and related property legislation, as well as internal governance and audit requirements applicable to institutional landlords.

Analytical & Financial Acumen: Strong grasp of rental structures, occupancy performance metrics and revenue analysis to support reporting, budgeting and decision‑making.

Systems & Digital Literacy: Proficient in property management systems (e.g., IFCA, POS, or equivalent), Microsoft Excel and data analytics/ reporting tools for performance monitoring and dashboard development.

Communication & Stakeholder Engagement: Excellent written and verbal communication skills, with the ability to manage discussions and correspondence with tenants, solicitors and senior management.

Leadership & People Management: Demonstrated capability in leading, developing and motivating a team, setting departmental KPIs, and fostering cross‑functional collaboration with Leasing, Legal and Credit Control units.

Strategic & Organisational Skills: High level of initiative, organisation and attention to detail with the ability to prioritise competing deadlines and drive improvements in tenancy management processes.

Professional Conduct: Upholds confidentiality, ethical standards, and landlord integrity in all tenancy dealings; maintains composure and professionalism in high‑pressure or conflict situations.

At least minimum 10 years of working experiences.
