A corporate services firm in Kuala Lumpur is seeking a Senior Corporate Secretarial professional to manage full corporate secretarial services across jurisdictions. The role includes client communication, managing statutory documents, and ensuring compliance with laws. Candidates should have 4-6 years of experience, a relevant degree, and proficiency in both English and Simplified Chinese. The firm promotes good corporate governance practices and offers a collaborative work environment.
To review, plan, prepare and manage the execution of corporate secretarial service deliverables and to fulfill multi-dimensional clients’ requests and requirements riding on pre-defined workflows, technology and systems to ensure and provide quality work and services in timely manner in compliance with the companies laws and regulations of Hong Kong and/or BVI jurisdictions and to promote good corporate governance practices.
Job Descriptions:
Executing a full range of company secretarial services, including company incorporation across multiple jurisdictions using internal systems (e.g., portal/BlueMeg).
Preparing and filing statutory returns, forms, and compliance documents.
Updating and maintaining accurate and complete corporate secretarial files, registers, and records.
Performing data entry, data updates, storage, filing, and other administrative tasks in the company’s designated systems.
Ensuring proper housekeeping and organisation of client documents and statutory files.
Acknowledging client requests/queries within 1 business day.
Following up on required information or documents within 2 business days.
Upholding high standards of corporate governance, compliance, and regulatory requirements.
Assisting the Team Lead in reviewing and checking the work prepared by Specialists.
Monitoring and guiding Specialists on corporate secretarial tasks.
Ensuring Specialists strictly adhere to internal policies and SOPs.
Performing medium to high-complexity tasks as assigned by management or superiors.
Providing direct support to Specialists when required, such as filings, data entry, and administrative duties.
Ensuring consistent compliance with internal policies and Standard Operating Procedures (SOPs).
College or Bachelor’s Degree in related discipline e.g. Corporate Administration, Corporate Governance, Business Administration, or any other related discipline etc.
Part ICSA qualification/Graduate of ICSA is an advantage.
Must have at least 4 - 6 years of relevant working experience.
Must have basic knowledge and understanding of listing rules and local governance and practices.
Experience with BlueMeg is an advantage/preferred.
Proficiency in the English language.
Able to read and write Simplified Chinese.
Possess good communications, analytical and problem-solving skills.
Good command of both spoken and written English and Simplified Chinese.
Able to converse in Cantonese and/or Mandarin.
Familiar with Companies Acts and filings of statutory forms to the authorities.
Able to work independently and is a good team player.
Good interpersonal skills and ability to work well with team members.
Able to work under pressure and meet submission deadlines with minimal supervision and guidance.
Able to identify and demonstrate clear comprehension of clients’ and organizational needs.
Punctuality at work at all times.
Confident in facing issues and/or resolving issues/challenges.
Good time management.
