Overview
With the commencement of new development projects in both Penang and Kuala Lumpur, Runnymede Group is expanding and seeking for talented, dynamic and committed individuals to join our growing team.
KEY RESPONSIBILITIES:
- Oversee the daily office operations general administration functions of the company, including upkeep and maintenance of office premises and equipment, company assets, motor vehicles, etc.
- Provide administrative and coordination support to Senior Management on day-to-day administrative and operation matters.
- Coordinate and manage appointments, meetings, travel arrangements and accommodation for Senior Management.
- Prepare letters, documents, reports and presentations, working closely with Management to meet stipulated timelines and quality standards.
- Track, coordinate and follow up on assignments from Management teams to internal team or external parties to ensure timely delivery in support of Management’s objectives and KPIs.
- Attend meetings when required, including preparation and circulation of agendas, minute-taking and timely circulation of meeting minutes.
- Supervise and coordinate the daily duties of administrative support staff, including drivers, dispatch personnel and office cleaners.
- Handle incoming telephone calls in a professional manner and direct calls appropriately.
- Manage and maintain proper records of incoming and outgoing mail, faxes and distribution of company emails.
- Administer purchase requisitions, including the preparation of purchase orders and payment requests, as well as control of stationery and office supplies stock.
- Maintain proper filing systems and ensure accurate upkeep of corporate and administrative records.
- Liaise with external IT consultants on IT-related matters in support of office operations, as and when required.
- Handle basic compliance and administrative matters, including liaison with relevant authorities such as DBKL, MPAJ and other statutory bodies.
- Maintain strict confidentiality and professionalism when handling sensitive information and correspondence, and when dealing with Management, staff and external business associates, exercising sound judgement at all times.
- Provide ad-hoc administrative and corporate support as and when required.
REQUIREMENTS:
- Minimum Diploma / Degree in Business Administration, Secretarial Studies or equivalent.
- Minimum 5 years of proven experience in administrative or office management roles.
- Articulate and proficient in both written and spoken English and Bahasa Malaysia.
- Proficient in Microsoft Office, Microsoft Teams, Outlook, Zoom and other relevant office systems.
- Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines in a fast-paced environment.
- Attention to detail and commitment to accuracy and quality of work.
- Proactive problem-solver with the ability to work independently and exercise sound judgement.
- Possess excellent communication, negotiation and interpersonal skills with the ability to interact professionally at all levels internally and externally.
- Demonstrates high degree of integrity and confidentiality.
- Pleasant disposition, resourceful, meticulous and able to multi-task to take on additional responsibilities to grow beyond core role.
