The Property Manager is responsible for the overall management, operations, and maintenance of the office building. This role ensures the property is well‑maintained, compliant with statutory requirements, cost‑efficient, and provides a safe, functional, and professional environment for tenants and occupants.
Roles and Responsibilities
- Oversee day‑to‑day operations and upkeep of the building, including common areas, facilities, and building systems (M&E, HVAC, lifts, fire safety systems, access card system).
- Ensure timely preventive and corrective maintenance to maintain building standards and asset value.
- Ensure proper implementation of safety procedures, emergency response plans, and risk mitigation measures.
- Conduct regular inspections and audits to identify risks and improvement areas.
- Manage service providers and contractors (housekeeping and cleaning, security, landscaping, maintenance, pest control, etc.), including performance monitoring and contract compliance.
- Ensure compliance with all statutory, safety, health, and environmental regulations.
- Act as the primary point of contact for tenants on operational and building‑related matters.
- Handle tenants’ feedback, complaints, and service requests promptly and professionally.
- Prepare and manage annual operating budgets, forecasts, and expense controls.
- Monitor operating costs and implement cost‑saving initiatives without compromising service quality.
- Review and verify quotations, invoices, service charges, and utilities consumption.
- Monitor and review all contracts/agreements with contractors, vendors, suppliers, and consultants for building maintenance, cleaning, security, and safety and all related works.
- Monitor and ensure all certificates, licences and permits of the building are renewed and up to date.
- Liaise with the relevant authorities in relation to permits, insurance, licences, etc. for operations, property maintenance, security and safety.
- Maintain proper documentation, records, and compliance reports.
Requirements
- Candidate must possess at least a Diploma or Bachelor’s Degree in Business Studies/Administration/Management, Property Management/Real Estate Management or related fields.
- Minimum 5 years’ experience in managing commercial or office buildings.
- Strong knowledge of building operations, facilities management, building maintenance practices, statutory requirements and Strata Act.
- Excellent communication and problem‑solving skills.
- Proficient in both written and spoken English and Bahasa Malaysia.
- A registered member of BOVEAP (Board of Valuers, Appraisers, Estate Agents, and Property Managers) is a plus.
