Job description
Project Site Administration Officer/Driver

Responsible for on‑site administrative management, including general administrative affairs and coordination of personnel‑related matters.

According to Malaysian local regulations, company management policies, and project requirements, promptly communicate various notices and management directives in line with project characteristics.

Supervise the implementation of administrative tasks, ensure proper usage and maintenance of office supplies, fixed assets, office areas, and living facilities, and timely complete relevant usage and maintenance records.

Develop and execute on‑site recruitment plans based on project needs, including job requirement collection, candidate screening, interview coordination, and communication.

Strictly implement personnel procedures such as onboarding, attendance, employment contracts, promotions, and leave management in accordance with company policies and local labor regulations, ensuring all documents are accurate, data is clear, records are complete, and filing is standardized.

Organize, coordinate, and guide the archiving of on‑site administrative documents, including administrative files, official notices, meeting minutes, payroll and attendance records, and recruitment documents, ensuring a complete and traceable documentation system.

Responsible for on‑site logistics and support services, including dormitory management, canteen coordination, utilities management, transportation arrangements, and procurement of office supplies, ensuring orderly operations of on‑site work and daily living.

Complete other tasks assigned by project management.

Work Location: Johor Bahru, Malaysia

Qualifications
  • Good command of English for communication, reading, and writing, capable of handling daily administrative communications and documentation.
  • Strong professional ethics and service awareness; responsible, honest, self‑disciplined, and a good team player.
  • Strong organizational, coordination, and integrated management skills, capable of managing administrative, HR, and logistical functions to enhance site administrative efficiency.
  • Prior experience in construction project site administration is preferred.
  • Bachelor’s degree or above in Administrative Management, Human Resource Management, Business Administration, Engineering Management, or related fields.
Driver – RM2,000 – RM3,000/month (overtime based on per rate)
Responsibilities
  • Act as a personal driver to the management team, including daily commuting from their residence to the office and other appointments as required; outstation travel may be required from time to time.
  • Drive official guests to designated locations in a safe and timely manner.
  • Stand by during working hours (and occasionally after hours, weekends, or public holidays) as per the needs of the management team.
  • Ensure the assigned vehicle is always clean (interior and exterior) and in good working condition.
  • Monitor and schedule regular servicing, maintenance, and inspection of the vehicle (engine oil, tyres, battery, brakes, etc.).
  • Report any incidents, accidents, or damages immediately and follow up on necessary repairs.
  • Send company vehicles for periodic maintenance or repair when required.
  • Perform dispatch duties, including collection and delivery of documents, parcels, cheques, and other items to banks, government agencies, and clients.
  • Assist with banking matters, bill payments, and other errands as instructed.
Requirements
  • Minimum of a few years’ experience as a personal/company driver.
  • Possess valid driving license and good driving record.
  • Must be able to communicate in English & Mandarin.
