Now, we’re looking for a talented Project Coordinator to join our dynamic team and play a pivotal role in shaping the future of Branding, Wayfinding and Signage in Malaysia.
Your Role as Project Admin Executive
- Administration & Documentation Works
- Renewal of annual documents such as Company Licenses, CIDB and other required body.
- Prepare, organize, and maintain all project-related documents such as quotations, purchase orders, invoices, and correspondence.
- Ensure proper filing (physical and digital) for easy tracking and retrieval of documents.
- Assist in preparing project claim reports, progress updates, and meeting minutes when required.
- Monitor project schedules and deadlines, and update project trackers accordingly.
- Coordination & Communication
- Act as a point of contact between the Client, consultants and internal team on administrative matters.
- Coordination works are crucial on project permits, authority licenses, progressive claims and ad‑hoc administrative tasks as required to support the overall company / project delivery.
- Assist in monitoring project budgets, expenses, and cost control documentation.
- Support in verifying supplier invoices and ensure timely submission for payment processing.
Job Requirements
- Proficient in Mandarin to effectively communicate with Mandarin‑speaking clients.
- A diploma or degree in Business Administration.Configuration or Project Management, or a related field.
- Minimum 3 years experience in administration or project management, preferably in the construction, signage, or related industries.
- Exceptional organizational skills with the ability to juggle multiple tasks without missing a beat.
- Strong communication, technical and financial knowledge – comfortable in client meetings as well as working with our project and graphic team.
- Proficiency in Microsoft Office and an eagerness to learn new tools and software quickly.
