Job description

The Production Coordinator provides essential support to the production team by maintaining schedules, tracking tasks, and ensuring communication across departments is efficient and accurate. As the foundation of the production pipeline, the Coordinator ensures that artists, supervisors, and producers have the information and resources they need to keep projects running smoothly. This role is detail-oriented, highly organized, and focused on supporting execution at the task and asset level.

Responsibilties:
  • Maintain and update task lists, production schedules using project management tools such as ShotGrid, Google Sheets, track deadlines, and flag risks or foreseeable delays to the Line Producer or Producers.
  • Update team allocations, plans and availability under the guidance of Line Producers, and coordinate between departments to ensure asset continuity, while providing support for daily production needs.
  • Act as a central communication point between internal teams, vendors, and external partners, share updates through approved channels, and prepare and distribute meeting summaries as directed by Line Producer.
  • Prepare files for delivery, ensure naming conventions and pipeline standards are followed, gather and organize data for progress reports, asset lists, and budget tracking, support version control and documentation of assets throughout the pipeline.
  • Prepare and distribute briefing materials for vendors/freelancers, update trackers with vendors/freelancers delivery progress and notes, and handle routine communications with vendors/freelancers.
Requirements:
  • Minimum 1 year in animation/VFX production or coordination role.
  • Good knowledge of animation/VFX production processes.
  • Proficiency in project management tools such as ShotGrid, Google Sheets, etc.
  • Strong organizational and multitasking skills with attention to detail, clear written and verbal communication skills.
  • Comfortable working under supervision, adaptable, eager to learn, and motivated to grow into larger production responsibilities.
