A leading FMCG company based in Kuala Lumpur is looking for a Senior Executive, Procurement to manage packaging procurement across Malaysia and Vietnam. This includes end-to-end P2P management, cost analysis, and supplier negotiations. The ideal candidate should have 3-5 years of procurement experience, excellent negotiation skills, and be comfortable operating in a fast-paced environment. Fluency in English and Mandarin is required, while Vietnamese is a plus.
The Senior Executive, Procurement will manage end-to-end packaging procurement for FMCG products across Malaysia and Vietnam. This includes Procure-to-Pay (P2P) execution, replenishment ordering, cost analysis, supplier management, and packaging localisation. The role works closely with the HOD to drive sourcing strategy, cost optimisation, and timely delivery to support production, NPD launches, and business growth. The ideal candidate is independent, commercially minded, proactive, and able to operate at EBA speed in a fast-paced environment.
Source and localise primary and secondary packaging materials (bottles, pumps, caps, labels, cartons, sachets).
Drive localisation projects in Malaysia and Vietnam to optimise cost, lead time, and supply reliability.
Ensure alignment of specifications, MOQ, lead time, and quality requirements with OEMs and internal stakeholders.
Work closely with the Planning team to execute replenishment orders based on demand forecasts.
Monitor packaging inventory, flag risks, and support order phasing, safety stock, and buffer strategies.
End-to-End Procure-to-Pay (P2P) Management
Manage full P2P cycle: PR validation, PO issuance, delivery follow-up, GRN coordination, invoice verification, and payment tracking.
Ensure on-time ordering, delivery, and supplier payments, resolving discrepancies with Warehouse, Planning, and Finance teams.
Cost Analysis & Commercial Support
Conduct packaging cost analysis, cost breakdowns, price variance tracking, and supplier benchmarking.
Support target costing, cost-down initiatives, and cost impact assessment for packaging changes.
Prepare data and insights for HOD to guide sourcing and pricing decisions.
Risk & Supply Continuity
Identify and mitigate supply risks such as single-source items, tooling dependency, or long lead times.
Propose backup suppliers or contingency plans for critical packaging materials.
Tooling & Change Management
Manage packaging tooling assets (moulds, cylinders, plates), usage, and costs.
Coordinate packaging change management to minimise obsolete stock and prevent launch delays.
Develop and manage packaging suppliers in MY & VN.
Lead negotiations on pricing, MOQ, lead time, and commercial terms.
Monitor and enforce supplier performance on cost, delivery, and responsiveness.
Stakeholder & HOD Support
Work closely with HOD on sourcing strategy, supplier selection, and urgent commercial issues.
Prepare decision-ready reports, cost comparisons, and scenario analysis for management review.
Manage internal stakeholder expectations (Product, Marketing, Sales) while enforcing cost and timeline discipline.
Documentation & Compliance
Maintain accurate procurement, costing, and supplier documentation.
Ensure compliance with internal SOPs, audit requirements, and quality standards.
Key Performance Indicators (KPIs)
On-time Delivery (OTD) of packaging materials
PO cycle time from PR to supplier confirmation
Cost variance vs target / budget
Inventory stock cover / reduction of obsolete stock
Cost savings or cost avoidance initiatives implemented
Supplier performance on delivery, quality, and responsiveness
3–5 years of procurement experience, preferably in FMCG packaging materials.
Hands-on experience in end-to-end P2P, replenishment ordering, and cost analysis.
Experience with Planning, Finance, and OEM / contract manufacturers.
Strong Excel and data analysis skills; ERP / P2P system experience is a plus.
Strong negotiation and commercial analysis skills.
Commercially minded, detail-oriented, and execution-focused.
Independent and proactive; able to manage multiple priorities with minimal supervision.
Comfortable operating in a fast-paced, high-change environment.
Confident in communicating with senior stakeholders and suppliers.
Willingness to support Malaysia & Vietnam operations.
Good command of English & able to read and write Mandarin; Vietnamese is an advantage.
