A leading procurement company in Malaysia is seeking a Procurement Officer to manage supplier relationships and purchase orders. The successful candidate will handle sourcing, negotiation, and order tracking while ensuring compliance with company policies. Ideal applicants should have at least a Higher Secondary/STPM qualification, preferably with experience in purchasing and inventory management. Proficiency in both English and Bahasa is essential for effective communication.
Source and request quotations from suppliers for price comparison.
Issue purchase orders (PO) once approval is obtained.
Ensure PO accuracy (item code, quantity, pricing, delivery date, directship and terms).
Follow up with suppliers for order confirmation.
Maintain communication with existing suppliers for delivery schedules, quality issues or delays.
Negotiate pricing, payment terms and delivery conditions when necessary.
Evaluate new suppliers and assist in supplier registration or qualification.
Track and follow up on outstanding or delayed deliveries.
Coordinate with warehouse or logistics teams for receiving goods.
Resolve discrepancies such as short shipment, wrong item or damaged goods.
Ensure timely delivery according to project or production timelines.
Maintain accurate records of quotations, purchase orders, allocation, supplier invoices and Transfer order (TO).
Update procurement tracking sheets (Excel) and BC systems daily.
File and archive all procurement documents for audit purposes.
Ensure compliance with company procurement policies and procedures.
Monitor purchasing cost and margin ensure alignment with standard limits.
Assist in identifying cost saving opportunities through negotiation or supplier consolidation.
Support monthly procurement reports for require needed.
Liaise with departments such as Finance (for invoice/payment), Warehouse (for goods receiving) & Retails assistance (for goods or merchandise needed) etc.
Provide procurement status updates to requestors and management.
Support urgent purchase requests or special project requirements.
Review supplier performance and suggest improvements.
Support implementation of new procurement systems or digital tools.
Maintain up to date product and market knowledge.
Other task as assigned by the superior from time to time.
Candidate must possess at least a Higher Secondary/STPM/”A” Level/Pre-U, Diploma, or any related field.
At least 1 year of working experience in the related field is required for this position.
Preferably candidate who specializing in Purchasing/Inventory/material & Warehouse Management or equivalent.
Good communication skills and language proficiency in English and Bahasa.
Independent and able to work with minimal supervision.
Must be computer literate.
Experience in full set of stock management.
