Job Summary

As a Procurement Executive, you will play a vital role in our procurement department, ensuring the smooth and efficient acquisition of goods and services. Your attention to detail, organizational skills, and ability to communicate effectively will be essential in achieving our procurement goals.

Key Responsibilities
  • Maintain and update vendor information in the procurement system, including contact details, product offerings, and pricing.
  • Develop and maintain good relationships with suppliers, conducting regular communication to ensure product quality, delivery schedules, and pricing competitiveness.
  • Assist in the evaluation and selection of new suppliers, participating in vendor assessments and negotiations as required.
Purchase Order Processing
  • Receive and review purchase requisitions from various departments, verifying the accuracy and completeness of the information.
  • Create and issue purchase orders to suppliers, ensuring compliance with company procurement policies and procedures.
  • Track the status of purchase orders, following up on delivery timelines and resolving any issues or delays that may arise.
  • Receive and inspect goods upon delivery, verifying against purchase orders and ensuring proper documentation is in place.
Cost Control and Reporting
  • Monitor and analyze procurement costs, identifying opportunities for cost savings and efficiency improvements.
  • Prepare regular procurement reports, providing management with insights into spending patterns, supplier performance, and inventory levels.
Inventory Management
  • Collaborate with the inventory management team to ensure proper stock levels are maintained.
  • Assist in conducting inventory counts and reconciliations, reporting any discrepancies in a timely manner.
Requirements
Education

College diploma or above in Supply Chain Management, Business Administration, or a related field.

Skills and Experience
  • Proven experience as a Procurement Clerk or in a related procurement role, preferably in [industry] or similar industries.
  • Strong knowledge of procurement processes, vendor management, and purchase order systems.
  • Proficiency in English (both written and verbal), with good communication skills to interact effectively with suppliers and internal teams.
  • Advanced Microsoft Office skills, especially in Excel for data analysis and reporting.
  • Detail-oriented and organized, with the ability to manage multiple tasks simultaneously and meet deadlines.
  • Good problem-solving skills and the ability to handle supplier relationships and resolve procurement-related issues.
