Responsibilities

The HR Shared Services Administrator delivers administrative support to the organization on various HR subject matters. This individual is responsible for supporting HR initiatives, in support of organization growth. This position focuses on administration and transactional activities within the HR Shared Services department. They provide direct administrative support to senior HR employees in the HR Shared Services department and work cooperatively with team members to support completing the HR department objectives.

  • Act as point of contact for all escalated HR related queries from employees and partners.
  • Organise and maintain employee records in a HR Shared Services hub.
  • Coordinate administration for HR projects and participate in HR audits.
  • Coordinate HR projects, meetings and training seminars.
  • Manage the employee life cycle processed as per approved guidelines: initiate hire, create employee profile in Workday.
  • Process job change transaction in Workday (reporting change, organization change, confirmation, promotion, transfer, etc).
  • Process termination.
  • Issue transactional letters.
  • Manage standard queries through case management system for daily operation.
  • Manage and maintain e-filing management system.
  • Support senior & team lead as & when required.
Qualifications
  • Demonstrate knowledge of basic office procedures and human resources function.
  • Demonstrate knowledge or experience in human resources and case management system – SAP/Workday.
  • Demonstrate effective and stable interpersonal relationship with internal and external parties.
  • Fluent in English. Proficiency in a second language would be an advantage.
  • Proven experience in similar human resources positions.
  • Hands‑on experience with HR software, like HRIS.
  • Ability to complete routine tasks and receive detailed work instructions.
  • Learn about policies and procedures and exercise limited judgement.
Education and Experience
  • Candidate must possess at least a Higher Secondary/STPM/'A' Level/Pre‑U, Bachelor’s Degree, Post Graduate Diploma, Professional Degree, Master’s Degree, Business studies/Administration/Management or equivalent.
  • 1–2 years related experience in a shared service environment, preferably within a human resources function.
  • Experience with HRIS and case management systems such as SAP or Workday.
  • Basic knowledge of labour legislation and strong communication skills.
